My client is looking for an Administrator to join them on site for the duration of at least 12 months to work as part of the Support team providing excellent business services and delivering a broad range of administrative duties. These will include co-ordination, secretarial and cross function support to the Exec, HSSE, Engineering & Production teams to meet the needs of the organisation. This role is split between administrators who are required to can work together as a team.
This is not a role which offers sponsorship or hybrid working

Key Activities:
  • Support the P&TS Leader in delivering the following:
      • Day to day management of various processes detailed in main responsibilities.
      • Undertake secretarial and administrative support on behalf of the Exec team.
      • The interface between other CQ support functions e.g., IT, OH, Health Champions, CQ Security and local schools, colleges.
      • Employee engagement initiatives and actions plans.
      • Ensure that all Station correspondence/ reports/ minutes/communications are carefully and professional prepared to branding guidelines.
      • Organise and plan meetings, prepare required minutes of the meetings ensuring that the minutes are approved and effectively distributed.
      • Manage the sites PING community (Internal comms page).
      • Provide general administration across the business unit, of non-centralised activities and to support central services with local knowledge and roll out of new functions i.e., Asset Governance, IT, Procurement, HR, Accounts Payable etc.
      • Purchasing and receipting for site teams.
      • Diversity, Equity and Inclusion communication roll out.
Main responsibilities of administrators:
  • Organise and coordinate visits.
  • School and college visits promoting STEM (Science, Technology, Engineering, and Mathematics.
  • Stakeholder and other visitors to site.
  • Action Tracking
  • Work with the HSSE+S Team Leader tracking actions for the site.
  • Act as the site Diversity, Equity, and Inclusion Ambassador
  • Attend online meetings through TEAMS with other DE&I Ambassadors
  • Promote DE&I on site.
  • Travel Arrangements
  • Arrange accommodation, flights, trains, and car hire both domestic and international for all site staff.
  • Public & community relations activity.
  • Voice of CQ:
  • Arrange Voice of CQ survey via Mentimeter or similar.
  • LMI Document Management
  • Download data of LMI’s that have expired and require updating
  • Publish data on Exec Performance Board
  • Advise LMI Author of review date.
  • Act as Health Champion for CQ
  • Organising Flu Vaccines
  • Producing and publishing Health related initiatives & info
  • Promo of Uniper initiatives
  • Attend monthly meetings arranged by Uniper Health Champion Working Group.
  • Events Planning
  • Christmas & other special events.
    • T. & Office Equipment support.
    • A working knowledge of key PC based computer systems including SAP.
    • Ordering stock and office supplies, maintaining the PPE store & Stationery cupboard.
    • Purchasing for Site Teams
  • Creating purchase orders, receipting deliveries, liaising with the production & engineers and the budget holders.
  • Provide support and cover for other members of the People & Teams Support and have flexibility to assist station teams as and when required agreed through the People & Teams Support Lead.
Key Skill Requirements: (knowledge, skills, experience & qualifications)
  • Be based on site
  • Must have 5 GCSEs of C grade and above or equivalent, with excellent keyboard and administration skills.
  • Ability to work closely with the exec and wider management team of the site presenting a highly professional image to all who come in contact with them.
  • Good professional approach to work maintaining confidentiality/data protection.
  • Have excellent communication and co-ordination skills and be approachable, the ability to work with external organisations outside of the business.
  • Good planning and organising skills to include effective prioritising.
  • Work closely with other teams on site and the wider business.
  • Be able to demonstrate a high degree of self-motivation.
  • Be a proactive team player.
  • The ability to motivate others.
  • Have a very good working knowledge of computer applications, including Power Point, Excel, Outlook, and Word. must also have some knowledge of financial packages - SAP or able to pick up systems quickly through training.
  • Be prepared and willing to respond to Business needs in an emergency, taking on additional activities where competent.
  • Have a flexible approach and be understanding of the requirements to meet business deadlines.
