We have an exciting opportunity for an Administration Manager. You will lead and develop a team of administrators and volunteers to provide reception cover, clinical and data administration, and general office and premises management, ensuring compliance with Care Quality Commission and Health & Safety standards. You will oversee the quality assurance of office systems, data and recording requirements, and the production and safe management of controlled stationery, including the generation of prescriptions.


We are looking for a proactive, responsive individual who can work efficiently and remain calm under pressure in a challenging yet rewarding role. You will have a good understanding of office environments and procedures, a commitment to improving processes, and experience of leading and supporting a team to achieve desired outcomes for the service and to meet their development goals. Through your leadership and management skills you will provide an environment whereby the administration team are supported to be able support service users to get the best service possible, you will link in with colleagues across the county to ensure they have the administrative support to ensure we can meet service user needs.

This is a challenging and rewarding role where you can think creatively to meet service user needs. No two days are the same in this role.

Salary: £30,316.74 - £ 32,412.09 Pro Rata (CGL Scale 28-30) dependent on experience

Responsibilities:
About the role:
  • Line management of a team of staff which includes supervision (with reflective practice), appraisal, performance and sickness management as well as ensuring staff follow CGL and external policies applicable to their roles.
  • Ensure forward planning to ensure the service has capacity to meet demand and all elements of administrative function are covered.
  • Coach and develop the team to ensure we are providing excellent customer service to people who we support, our colleagues and our service.
  • Ensuring quality of service delivery through data analysis and engaging staff in service quality improvement planning. Where necessary, create team and individual performance plans to improve quality and performance.
  • To co-ordinate communications within the administrative team, the local management team, Partnership agencies within Nottinghamshire, the CGL Regional Business Unit (RBU), and with other areas/departments of CGL and ensure efficient telephone, email, post and fax systems are developed and maintained.
  • Work with your team and Designated Safeguarding Lead (if not your role) to ensure that the practices within the service enable identification of service users, children and families who are at risk. Ensure that staff are competent in the delivery of interventions that reduce risk to service users.
  • Plan, chair and contribute to team meetings that promote learning cultures, cascade information, and provide feedback mechanisms for staff on service delivery/developments.
  • Working with the management team, maintain strong governance and monitoring systems, ensuring a consistent, high quality service and ensure professional standards are met and best practice is implemented.
  • To ensure efficient support is made available to run clinics, generate prescriptions and support medical staff working alongside the service
  • To be the health and safety lead for the service. Contribute to the safety of staff and service users by monitoring the maintenance of health, safety and security procedures in the working environment, and carrying out risk assessment procedures

About You:
  • Experience of leading people across various sites
  • IT literacy including proficiency in word processing, spreadsheets, data entry and knowledge of general office procedures
  • Knowledge and experience of delivering services which evidence high performance and quality standards
  • Knowledge of monitoring procedures to ensure compliance and quality and the ability to produce associated reports
  • Experience of culture and change management, staff engagement, service improvement.
  • Excellent team working, communication and collaboration skills
  • Experience of managing finance systems including petty cash
  • Ability to communicate complex information to people in a way that is easily understood
  • Ability to utilise a range of feedback mechanisms to evaluate and improve service delivery
  • Ability to lead and develop a team
