Primary Job Purpose
  • Support the Technical Services & FM team with the management of McCarthy Stone’s property portfolio, ensuring asset data is processed and recorded in an effective and timely manner.
  • Form an effective partnership with external suppliers / internal teams who deliver programmes of work to ensure the portfolio remains compliant in line with statutory obligations and company procedures.
  • Collate, process and track documentation, filing records within electronic databases as required in a timely manner. Prepare and analyse data, creating reports a required.
  • Support with ad-hoc projects as required.

Key Responsibilities
  • Support with in relation to all compliance matters; coordinating, handling and processing the handover of new developments from the construction company to the Landlord.
  • Ensure documents/certification are recorded centrally (Qube or other databases) in a timely manner to assist McCarthy Stone in demonstrating compliance.
  • Ensure all enquiries are dealt within agreed timescales, including the management of the Technical Services and Health and Safety email inboxes.
  • Prepare regular and ad hoc reports as required which may include some research and collation of information.
  • Maintain confidentiality at all times in relation to business sensitive and personal information acquired through work. Ensure compliance is upheld with regards to the Data Protection Act and by ensuring information and records are safely stored and regularly archived in accordance with policy.
  • Establish, develop and maintain effective working relationships with all work colleagues, contractors and partnering agencies to ensure an integrated contribution to MSMS & YLMS’s business objectives.
  • Observe and comply with all company policies / procedures and observe / continually promote equal opportunities and customer care in compliance with organisational aims and objectives.
  • Participate in learning and development activities that develop personal effectiveness and assist in improving performance in the role.
  • Undertake such other reasonable duties, commensurate with the job holder’s experience and qualifications, as may be required for the smooth operation of the business

  • Act in accordance with Company Health and Safety policies and procedures, carrying out any work in accordance with any training, using any equipment in a safe and appropriate manner, informing your line manager of any health and safety problems and immediately stopping any unsafe activity until adequate measure have been taken to remove the risk or reduce it to as low as possible.

  • Take reasonable care of your own Health and Safety and that of any person who may be affected by your acts or omissions at work;
  • Act in accordance with Company Health and Safety policies and procedures, carrying out any work in accordance with any training, using any equipment in a safe and appropriate manner, informing your Line Manager of any health and safety problems and immediately stopping any unsafe activity until adequate measure have been taken to remove the risk or reduce it to as low as possible.

Hours of work
  • 37 hours per week, 09:00 - 17:30 Monday to Thursday, 09:00 - 17:00 on Friday.

Education And Qualifications

Person Specification:
  • Educated to GCSE level

Knowledge, Experience, Skills, Competencies
  • Administrative experience is essential as well as sound typing skills, and the ability to use Excel at an intermediate level.
  • Previous experience of customer contact in a similar role is essential.
  • Attention to detail, tact and influencing skills also required in this role.
  • Previous experience or basic understanding of statutory building compliance and a recognised Health & Safety qualification would be advantageous.
  • To be IT literate - specifically Microsoft Office and the use of service specific software, such as asset capture software.

  • You must be a credible and motivated individual, with the ability to work unsupervised within a busy team. You will also have a positive ‘can do’ attitude and strive to continually improve processes within the department.
