Job Description

To undertake a range of duties including:
  • Support CEM team, Events organiser and all relevant onsite Mitie teams, with Line Manager support, on all relevant duties. This will include (but not limited to) furniture moves, driving to other Vodafone locations with cargo/deliveries, any BAU logistic requirements. RAMS and Mitie/Vodafone processes to be adhered to at all times.
  • The scope of day to day tasks may change as processes and business needs are regularly changing and evolving. This role requires flexibility and adaptation to ensure compliance with current times and requirements.
  • Work with Line Manager to ensure all tasks assigned are managed efficiently and completed in timely manner.
  • Ensure Vehicle is checked weekly and all servicing requirements are adhered to. Any issues to be reported to the line manager.
  • Complete driving forms as requested by the company.
  • Assist with furniture requirements at Vodafone HQ, including but not linited to generic and heavy furniture
  • Carry out weekly utilisation checks as required & undertake bi-weekly quality audits of soft furnishings.
  • Deliver and collect furniture to and from Paddington & Newbury HQ when required. All returns must be documented and returned to the stores. Offsite stores are now managed by Vodafone WPM team and permission to access and use must be obtained beforehand, via Line Manager.
  • To assist with Loading bay maintenance, to include but not limited to tidying items, moving/disposing of agreed items, general cleaning of the area (i.e sweeping)
  • To assist the Post Room team as required and as agreed by Line Manager
  • This is a full time role for an agreed working hour schedule (i.e 7am to 4pm/8am to 5pm) however due to exceptional circumstances, on occasion, an earlier start, later finish may be required. This will always be upon agreement and hour compensations discussed. If an earlier start is required, an earlier finish or adequate time compensation will be arranged.
  • Team to manage meeting rooms and ensure they are set up daily. The meeting rooms must be stocked with, pens/ flipchart paper and markers. WPM’s to report any cleaniness issues such as dirty tables, rubbish/ crockery that needs to be removed etc to the cleaning team.
  • WPM’s to manage CEC set up and clear up as required by the client.
  • To support CEM’s when required, with delegated tasks including but not limited to – logging jobs with the Mitie Helpdesk, NPS Surveys
  • Check tea points on a Monday morning and clear as necessary
  • Maintaining the lakes on Campus, removing rubbish from the lake and reporting any issues to the line manager
  • Manage day to day checks of the offsite space and the pavilion
Support with event set up’s and clear downs as and when required as scheduled by the Customer Engagement and events manager, with Line Manager support

Qualifications
  • Excellent communication skills and exceptional attention to detail
  • Immaculate personal presentation endorsing relevant uniform standards
  • Proven experience and understanding of an exceptional Customer Service delivery
  • Previous experience with visitor management and booking systems preferable
  • Excellent time management and organisational skills
  • Pro active, flexible and can-do attitude
  • The ability to handle complaints and difficult situations in a patient, calm and effective manner and escalate where appropriate
  • Ability to deal with multiple requests simultaneously
  • Computer literate (Word, Excel, PowerPoint, email) and excellent administration skills
  • Team player
  • Be innovative, identifying improvements and smarter ways of working
