Team Assistant- Scientific & Regulatory Affairs (SRA)

Location:London

Position Overview:

The Europe SRA Team Assistant/Project Coordinator will report to the Europe SRA Director. Candidates must have experience and be competent in coordinating internal and external meetings, managing calendars, travel, and expenses management, managing budgets/purchase orders/invoices, coordinating team meetings, and prioritizing various admin and project related tasks.

What You’ll Do for Us:

  • Calendar, Travel and Expenses Management of the Europe SRA Director
  • Schedule Europe SRA weekly, monthly, and other relevant meetings routines
  • Events Management (Europe SRA live Team meetings and other ad-hoc meeting management requests)
  • Manage and track the Europe SRA departmental budget, PO numbers and invoices.
  • Manage agencies used by the SRA team
  • Troubleshoot day-to-day admin issues to promote the smooth, efficient operation of the Europe SRA Team department.
  • Provides support in arranging meetings including coordinating the agenda, collaboration of presentations/information, handling logistics, such as visitor registrations, meeting room reservations and local travel. Also, provide hospitality for guests of the department which may include planning, arranging, and confirming all local logistics support.
  • Performs general clerical duties including but not limited to applying for office badges, coordinating IT and technology equipment requests and data entry; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, SLA vendor agreements and maintaining the Europe SRA Team outlook email distribution group list.

Qualifications & Requirements:

  • A minimum of 2 years’ experience in an admin environment
  • Comfortable with digital tools and learning new ways of working
  • Team player skills with a desire to cross-skill and a willingness to work flexibly across all team processes
  • Self-starter able to work independently with a proven desire and ability to learn on-the-job
  • IT skills knowledge (e.g., Microsoft Word, Teams, PowerPoint, Excel, Outlook, Concur Tool, SAP, SharePoint, and other internal KO IT Tools)
