Physical Security, Business Continuity and Crisis Management
In order that the finance advisory groups can function successfully and safely, it is vital that a degree of operational resiliency is achieved with collaboration between teams from Risk, Information Security, Information Technology, Property & Corporate Services and Physical Security, Business Continuity and Crisis Management
Business Continuity and Crisis Management
In 2018 a new global framework was established to ensure full and effective implementation of a new Business Continuity Management System (BCMS) and Crisis Management structure. Information Technology, as custodians of the IT Disaster Recovery are an integral part of this approach and structure.
The BCMS covers a full planning, training, testing and review cycle of activity
Crisis Management. Rothschild & Co has crisis management teams (CMT) at 3 discrete levels; global, regional and office (local). Exercises take place at least once each year. Since 2019 both the Global and Regional CMTs have been meeting on a regular basis to manage the impact of COVID-19 and each team is considered well practised and familiar with the decision-making process during a crisis event.
Kidnap & Ransom. There is a separate set of Guidelines for Kidnap & Ransom events
Physical Security
In addition, a new Global Security Policy is in place supported by Hub (London / Paris) and Location Security Standards.
A new Travel Security Policy came into effect on 01 April 2019, like all policies and standards, this is reviewed and updated every year.
International SOS (ISOS) are our Security travel advice providers. ISOS provides medical advice, maintains a list of approved hotels and provide advice on ground transportation. A key service is the provision of advice and assistance in the event of an incident or disruptive event
Disaster Recovery
Each year all Company Work Area Recovery (WAR) sites and Global Data Centres are fully tested. All critical applications must be available within designated Recovery Time Objectives. Each of these tests are conducted by IT with the full support of the Security, Business Continuity and Crisis Management Team
Overview of Role
General administration and technical support to the Physical Security, Business Continuity and Crisis Management Team.
Responsibilities
Team Administration
  • Provision of office stationery.
  • Bookings. Travel arrangements for the team. Assist with meeting arrangements.
  • Invoice processing
  • Event support
Support to Global Head Security, Business Continuity & Crisis Management:
  • Team Budget management. Monitor the budget monthly to ensure expenditure is on track and raise any issues with the Global Head
  • Processing of team purchase orders, claims and payments.
  • Administration of contracts. Assist with the contractor management system ensuring all paperwork is submitted, inductions complete and permits approved.
Support to Regional Head of Physical Security in the delivery of Delivery of:
  • Building Security provision
  • CCTV management
  • Attend Meetings with Security Management and 3rd party vendors, monitor and follow up any agreed actions. Take minutes as required.
  • Record and monitor any technical issues from report to completion with the assistance of Security Management.
Support to Regional Head BCM
  • Team lead for the implementation and management of the Group’s Global Notification Tool – Rapid Reach
  • General administrative support as required
Experience, Skills and Competencies Required
  • Proactive attitude with the ability to demonstrate initiative, attention to detail and reliability.
  • Good organisational and time management skills with the ability to prioritise workload and multi-task.
  • Excellent interpersonal skills – to communicate clearly and effectively at all levels.
  • Ability to maintain high level of confidentiality in respect of information / documents / projects being produced or undertaken.
  • Self-motivated, highly productive, reliable with a flexible attitude and a willingness to help out where required.
  • Ability to act with good judgement and common sense. Ability to work under pressure, meeting tight deadlines when required.
  • Advanced knowledge of Microsoft Outlook, Excel.
  • Good competencies in Word and PowerPoint.
