Job Title: Systems and Data Specialist

Location: Crawley, West Sussex

Responsible to: Head Winemaker, dotted line to head of Finance

Responsible for: No direct reports

Key internal communicators: Winery, Finance, Vineyard and Headquarters Sales teams.

Overall Purpose:
Nyetimber is a luxury brand and multiple award winning English sparkling wine producer. We are now seeking to further expand our Winery team.

The Systems and Data Specialist be responsible for the creation, and/or implementation and/or ongoing operation of web-based and other databases to manage data for stock management, production, productivity, and administrative functions. The Systems and Data Specialist will be required to champion and deploy process improvement methodologies, toolsets, problem-solving and design initiatives. The role requires the employee to gain for themselves a thorough understanding of the current winery processes, the current stock management system and also future requirements to be successful.

Key Responsibilities

• Continued development & support of ‘Stocked’ Inventory program (bespoke software created for Nyetimber in 2015)
 manage external software provider Molewood including sourcing competitively as necessary, briefing, monitoring all aspects of progress and ensuring timely delivery.
 Create comprehensive briefing documents for required upgrades or developments outside the scope of the service agreement
 Create and keep comprehensive user guides for own role, and Office Manager role to manage the system
• Continued development & support of ‘Vintrace’ implementation and maintenance (Vintrace is commercially available winery software)
• Provide assistance to vineyard department in the transfer of information onto Vintrace prior to and during harvest.
• Research, consider and recommended proposed way forward with Vintrace and/or Stocked to best ensure full forward traceability
• Deliver training and follow up support for any new implementations, and for Vintrace and for Stocked, where required
• Ensure all data within the Vintrace or Stocked databases are accurate, maintained and interpreted correctly.
• Remove and replace all existing systems with reliance on MS Access across the business with less technically reliant systems.
 Maintenance of Job Monitoring databases and Climate data (Microsoft Access), until such time as alternative is sourced and implemented.
 Source and manage implementation of new winery dpt database for monitoring productivity to replace the Job Monitoring database (tracking units of output, staff hours, downtime etc)
• Identify, any other processes that could be improved upon; which are cost effective and beneficial to the business.
• Arrange any development to be implemented such that business does not need high level Excel or other specialist IT skills.
• On occasion provide coverage for Winery Office Manager core duties.
Finance Department
• Assist with integration of the stock management system with the new financial accounting system Netsuite
• Provide technical help and assistance to the assistant Accountant in monitoring the effectiveness of the overall company IT provider Online Support.

Other Responsibilities:
• Provide regular project updates
• Participate/support in ad-hoc projects, and/or provide advice where required, even in other departments
• Record colleague and business feedback on the service(s) ensuring the areas for improvement are captured and actioned where appropriate.
• Extras hours and complete flexibility over working days as required at crucial times of the year.
• Flexibility to work at other sites on an ad hoc basis.
• Undertake any prescribed training as required.
• Undertake such other duties commensurate with the responsibilities of the role and any other reasonable management request
