This is an exciting opportunity to join the Elective Orthopaedic Service on a permanent contract as a Support Secretary

As part of the team you will be responsible for the typing of clinical dictation and supporting the Waiting List Coordinators with various admin duties as required. In the absence of the WLC you will step up to help cover the role. You will be a conscientious and enthusiastic team player with excellent organisation and communication skills. You will need to be able to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable. You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure.

You will be responsible for the typing of clinical letters, ensuring accurate and timely turn around of dictation. You will also support the Waiting List Coordinators in admin duties as required. When fully trained you will step up to cover the WLC during holiday periods.

In addition to typing, you may be asked to make appointments, add patients to waiting lists, maintaining the investigation spreadsheet and liaise with different departments; therefore good communication is paramount.

You will be a pro-active member of the team, recognising the need to achieve Trust targets and using your initiative to achieve these.

Detailed job description and main responsibilities

Accurately transcribing from Winscribe digital dictation and Winscribe Speech Recognition digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard with specified timescales.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines

Undertake daily peer audit of clinical correspondence to ensure a high standard of accuracy and quality of work.

Ability to exchange sensitive or contentious information with diplomacy and in a confidential manner.

Liaising with several other departments regarding Appointments and necessary important clinical information to ensure patients are seen on their pathway without delay.

Training & Qualifications

Essential criteria
  • GSCE C or above for English and Maths or similar through vocational trainng
Desirable criteria
  • RSA III or evidence of typing experience

Communication & Relationship skills

Essential criteria
  • Excellent telephone manner. Clearly and accurately record information. Demonstrate enthusiasm and conscientious approach
Desirable criteria
  • Experience of working in a health care environemtn

Exp

Essential criteria
  • Proven typing or clerical experience. Microsoft Outlook, Word, Excel. Working to deadlines
Desirable criteria
  • Knowledge of medical terminology

Planning and Organisational skills

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£45 for enhanced and £28 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
