Job Title: Support Coordinator

Department: CDS DS - Training and Learning Development (T&LD) Business Unit

Location: Redditch

Reports to: CDS DS T&LD Team Manager

Job Role

Ubi-Tech is a subsidiary of CDS Defence and Security. It is an award-winning training provider specialising in consultancy and bespoke training for leading providers within the telecommunications sector. We also provide Continual Professional Development and resettlement training for service leavers wishing to pursue a second career in the telecommunications industry. The principal role of the Support Coordinator is to provide support within Ubi-Tech for the efficient and effective administration of the business and of courses.

Principle Responsibilities

Provide efficient and effective business administrative support for Ubi-Tech.

  • Provide information and support to CDS DS Central Services including on finance, HR, compliance and project management.
  • Support invoicing and payment management.
  • Manage day-to-day Health and Safety within the Redditch building (including measures related to COVID) ensuring Government and Company guidelines are implemented.
  • Manage the Ubi-Tech company diary.
  • Manage day-to-day document control and record keeping.

Provide efficient and effective course and students’ administrative support for Ubi-Tech and CDS DS.

  • Support students from initial point of contact through to qualification.
  • Enroll students onto courses and implement their access to online facilities.
  • Assist Finance with students’ payments.
  • Register students with Higher Education Institutions and Awarding Organisations.
  • Implement compliance with Higher Education Institutions’ and Awarding Organisations’ regulations.
  • Book accommodation and facilities in support of courses.
  • Assemble and deliver course teaching and delivery materiel (including printed content and classroom supplies).
  • Manage course administration for running courses in Redditch and, where required, on customers’ sites.
  • Process students’ assignments, grades and extensions.
  • Plan and implement the schedule of courses and course programmes.
  • Manage events and graduation.

Liaise with customers and organisations (including those in the Ministry of Defence) and regulatory bodies (including Higher Education Institutions and Awarding Organisations).

  • Manage multiple email boxes for Ubi-Tech.
  • Support Business Development in the promotion of company offerings and development of sales opportunities.
  • Ensure submissions deadlines are met with Ubi-Tech and Awarding Organisations.

General office administrative and support duties.

Qualifications and Experience

Essential:

  • Experience of engaging with customers.
  • A team player with respect for colleagues and customers, and with a drive to establish, maintain and develop working relationships based on confidence, trust and respect.
  • Strong time time management skills in order to meet strict deadlines.
  • Proven ability to work collaboratively with others, including technical specialists and subject matter experts, and to build positive relationships with individuals and across teams.
  • Strong problem solving, decision making and people influencing skills.
  • A clear and confident communicator, verbally and in writing.
  • Strong IT skills including the use of MS Outlook, MS Excel, MS Word and Teams.
  • Ability to solve problems by reporting feedback to the relevant person suggesting ways to fix issues.
  • Ability to work on your own initiative
  • Holding, or capable of achieving, a minimum of the Government’s Baseline Personal security Standard (BPSS) security clearance.
  • Hold a valid UK driving license.

Desirable:

  • Previous experience within a similar role.
  • Experience of training in the Defence sector.
  • Understanding of Higher Education practices.
  • Holding, or capable of achieving, the Government’s Security Check (SC) level security clearance.

Aspiration

You will be expected to identify new and more efficient ways of carrying out your role and supporting Ubi-Tech and CDS DS. You should demonstrate a desire to take on additional challenges and be prepared to propose new thinking and ideas.

Location

  • Full time based in the Ubi-Tech office in Redditch.
  • Working in the CDS DS office in Cheltenham when required.
  • Working at clients’ locations when required.
