Description

MAIN PURPOSE OF JOB:

To ensure the efficient and professional provision of reception services to the branch.
To meet and greet visitors to the branch, professionally directing them as required.
To deal with all calls quickly and efficiently, passing the call to the relevant department effectively
To look after and maintain a high standard of cleanliness in the hospitality area

  • OBJECTIVES AND KEY TASKS:
2.1 Reception

To answer all calls to the branch and distribute to the relevant department.
To greet all walk-in customers and ensure they are directed as appropriate.
To deal with telephone enquiries professionally and efficiently, ensuring messages are passed to the relevant person/department as quickly as possible.
To ensure all enquiries that come into the branch, via telephone, email, walk in and Volkswagen referrals are logged correctly.
To email messages to branch staff where necessary.
Maintain safe working practices and abide by the Volkswagen standards at all times.
To ensure that all visitors to the Branch are recorded in the visitors book, and are aware of Health & Safety Issues.
To monitor showroom POS, check ipads are up to date and are fully charged, update prices and fuel figures, order brochures.
To ensure that the Centre’s outgoing post is processed on a daily basis.

2.2 Hospitality Area

To maintain the hospitality area, ensuring it is clean and tidy at all times.
Ordering supplies to keep fridge stocked at all times.
To serve drinks to customers.
To supply customer with papers and magazines as requested.

2.3 Other Responsibilities

Responsible for Health and Safety for the branch.
Organising the Volkswagen training for appropriate staff members.
Co-ordinating with other Managers at branch regarding the annual Volkswagen Audit.
To ensure that all administration tasks are completed accurately and properly.
To assist with updating battery audit spread sheets.
Comply with and distribute any new legislation or circulars supplied by Volkswagen UK or Caffyns Head Office.
To cover Saturday receptionist during sickness and annual leave
  • OTHER DUTIES:
This list of duties is not exhaustive and other tasks and responsibilities will be required of the post-holder as requested by the Sales Manager.
