Space and Safety Co-Ordinator

Cardiff University School of Social Sciences is seeking to recruit a Space and Safety Co-Ordinator, in this role you will provide a comprehensive professional administrative support to the school, providing support and guidance on school occupied spaces, facilities, security and health, safety, and environmental related matters

This is a full time post, 35 hours per week, available immediately and open ended.

Salary: £26,444 per annum (Grade 4), with 4 annual increments up to £29,605 per annum (final salary at top of grade).

Job Description

Key Duties
  • Supervise the day-to-day operation of the Building Support and Infrastructure team, including allocating tasks, producing work schedules, monitoring holiday cover arrangements; completing probation, annual appraisal and staff development requirements; and providing training and wellbeing support to staff members where necessary.
  • Provide detailed advice and guidance on school occupied spaces, facilities, security and health, safety, and environmental related processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action where appropriate, contributing to the resolution of more complex issues
  • Collaborate with others to make recommendations for developments of established processes and procedures with regards to space, facilities, security and health, safety, and environmental matters
  • Establish working relationships with key contacts (including the University Safety and Estates departments) to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required
  • Undertake a variety of administrative duties to support the team and department including reviewing and updating generic risk assessments, updating related procedures, maintaining space plans and acting as secretary to the Safety, Health, Environment and Wellbeing Committee.
  • Gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate
  • Instruct and guide other employees across the University/School on school space, facilities, security and health, safety, and environmental matters, in particular, acting as the DSE Assessor, Departmental Safety Officer and Environmental Compliance Officer
  • To manage the ordering and issue of keys and telephone numbers within the School.
  • To co-ordinate the annual Portable Appliance Testing (PAT) of all necessary School equipment.
  • Co-ordinate the Health, Safety and Well-being induction of new starters.
  • Work with others to make recommendations to improve our ways of working.

Person Specification

We are looking for a team player who will work with colleagues to provide a great service to staff and students. You don’t need to have worked for a University before; this is an opportunity to show your potential and start or continue your career at Cardiff University.

This role may be an opportunity for you to build on your experience from working in a previous administrative role or environment, showing your transferable skills and aptitude to be successful in the role. You should have an interest in managing and developing a team. You should be enthusiastic about developing your knowledge and skills to become a valued member of the team and to provide supervisory support to those under your line management.

Essential Criteria
  • NVQ 3/A-Levels or equivalent
  • Ability to communicate in writing clearly, concisely, and effectively to provide detailed advice, guidance and support to team members and customers on knowledge of space, facilities, security and health, safety and environmental matters.
  • Evidence of a good standard of numeracy and IT literacy.
  • Experience of working in an administrative role or environment.
  • Ability to resolve and manage performance and welfare issues within your team within University procedures and policies, maintaining professional standards, Understanding of line management responsibilities (such as work allocation, probation, appraisal, holiday requests etc.).
  • Ability to communicate specialist and complex information effectively and professionally to a wide range of people with varying levels of understanding.
  • Ability to use your initiative and creativity to solve problems, respond to queries and make recommendations, identifying and proposing practical solutions.
  • Ability to work unsupervised to deadlines, planning, setting and monitoring your priorities and those of the team.
  • Ability to explore customers’ needs and adapt the service your team provides accordingly to ensure a quality service is delivered.
  • Evidence of ability to analyse processes and procedures, and advise on improvements
Desirable Criteria
  • Previous experience of supervision/line management.
  • Ability to speak/understand Welsh or a willingness to learn.
  • Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work
  • Degree or an equivalent qualification or equivalent work related experience
  • Experience of working in a Higher Education environment

The School of Social Sciences is an internationally recognised centre of excellence in research and teaching across a range of subject areas, including Social Policy, Sociology, Criminology, Education, Social Psychology, and Social Work.

We deliver a substantial programme of research, both fundamental and strategic, funded by ESRC, AHRC, MRC, charitable foundations, the European Union, Central Government departments and agencies and voluntary associations. In the 2021 UK Research Excellence Framework the School was returned to two sub panels, Sociology and Education. We were placed in the top ten in each sub panel by grade point average, joint first for impact in Education and fourth overall for research power in Sociology.

The School has a large student population, with almost 1000 undergraduates, and 300 postgraduates.
