We have fabulous new offices close to London Victoria station and will be operating a hybrid working approach with at least 2 days a week in the office and up to 3 days a week working from home.

We are looking for an organised, analytical and systematic share plans administrator.

Role Overview: *

Due to company expansion this is a newly created, permanent, full-time role based in our amazing new offices in London near to Victoria station. The role will be able to work a hybrid pattern with up to 3 days per week working from home, although in the first few months during familiarisation with the company and the team, the requirement is likely to work from the office for 3 to 4 days per week initially.

The shares administrator will assist with the life cycle of the Company’s share plans, including communication with participants, monitoring the Share Plans Inbox, liaising internally with relevant departments e.g. finance and payroll and being instrumental in assisting the Company Secretary with delivering the annual launch of the global equity schemes.

Salary: £30k - 40k + 10% bonus
Responsibilities:

Roles and Responsibilities: *

  • To own the administration and operation of the companies’ equity schemes.
  • Carry out all share sale transactions for employees ensuring correct recording at Companies House and in Preqin’s books and share databases. This includes developing and improving on processes to ensure efficient administration of the company share schemes.
  • To issue dividends to shareholders, providing share certificates and recording dividends as appropriate and liaising with finance to enable payment.
  • Own the relationship with the third party vendor of the share administration database and identify new systems, tools and enhancements to help administer the scheme.
  • To act in a customer service capacity to deal with incoming shareholder/participant enquires on employee or shareholder equity and shareholdings, for instance answering questions on the sale of shares transaction and current shareholdings. This includes:

Training new hires in the benefits and operation of the schemes.

  • Presenting information on the equity schemes at onboarding sessions or adhoc to new hires or new entrants to the schemes to ensure all employees understand the schemes, the benefit of the schemes and the scheme rules.
  • Working with the internal communications and HR team to develop effective colleague communications and promotional material.
  • Support the business with any share related information they need.
  • Providing information and assisting the company secretary to complete forms for end of year W2 filings for USA employees who have sold shares or been issued equity during the year working with the payroll and HR team in USA.
  • Provide information on leavers in APAC on a monthly basis for employee tax filings.
  • Provide information and completing forms for end of year APAC filings for equity working with the payroll and HR team in APAC.
  • To support the company secretary in completing the Employee Related Security annual returns for HMRC for UK employees for all share and equity schemes each July.
  • To provide summary data on a regular basis related to shares and equity transactions to the equity committee. (Volume sold/transferred in the prior period).
  • To help with audit queries related to share transactions.

Qualifications: Key Requirements for this Role:

  • Excellent organisational skills.
  • Advanced knowledge and experience of Excel along with good knowledge and experience of Outlook and Word.
  • Excellent customer service and communication skills
  • Thorough, systematic and process orientated.
  • A friendly and customer service orientated attitude.

Desirable Requirements: *

  • A background in accounts or shares administration is not essential but favourable or experience in financial administration or banking administration would also be beneficial.
  • Technical Awareness.
  • Experience in the financial, tech or data industries would be an advantage.
  • A-levels or degree in a numerate subject.
  • This role is suited to someone with high attention to detail and who is numerically and financially minded.
