Your responsibilities and tasks:

  • Completing handover and credit check forms and gathering information for new Customer set ups

  • Raising Service Calls

  • Raising Purchase Orders and Credits

  • Sending FSE work orders, processing their hours and work reports

  • Checking margins and invoicing calls

  • Raising overhead POs

  • Completing Quarterly call out rotas for engineers 24hr duty

  • Approving Engineers hours daily for the previous day

  • Keeping records of Engineers holidays, lieu days, absence, and sickness

  • Closing Maintenance Calls at the end of each month

  • Compiling reports such as contract margins, Engineers’ weekly hours, service call transaction reports

  • Liaising with site contacts to book work in and discuss overdue invoices

  • Compiling and sending out the weekly diary to the Engineers

  • Keeping a maintenance log and making sure visits are completed on time

  • Customer KPIs

  • Gathering information and putting together simple quotes for Customers

  • Liaising with Engineer regarding their PPE and workwear requirements and putting requests to service support for orders

  • Key: Along with the administration duties, the candidate must be Customer facing, with a strong attitude and the want to learn and grow in the role.

Your profile and qualifications:

  • Strong organizational skills and attention to detail in managing engineering service requests, documentation, purchase orders, and credits.

  • Excellent communication and interpersonal skills to effectively collaborate with clients, suppliers, and external stakeholders.

  • Proficiency in using purchase order systems and software to create, track, and manage purchase orders and credits.

  • Knowledge of engineering service administration principles, processes, and best practices, specifically related to purchase orders and credits.

  • Ability to prioritize tasks and manage multiple engineering projects, purchase orders, and credits simultaneously.

  • Analytical and problem-solving skills to address issues related to purchase orders, credits, and service administration.

  • Experience in most points under ’Roles and Responsibilities’ is appreciated but not a must.

  • Salary – Circa. £22-£25k pa (depending on experience)

  • Hours – 08:00- 16:30 (with ½ Break) – 40hr week as requested

  • Grade - Middle Level Administrator
