We are recruiting for a professional, organised, and detail-orientated Temporary Administrator, to join our busy central administration hub team.

As a Senior Administrator, you will be responsible for providing high-quality meeting administration support to our Leadership Team, Trustees and the Senior Management Team.

This is a full-time, working Monday to Friday 9am – 5pm, however there may be some flexibility for the right candidate. This exciting and rewarding role is a temporary position, with an immediate start and will be for a minimum of 3 months, dependant on requirements, there may be an opportunity to extend the assignment further.

The Franciscan Missionaries of the Divine Motherhood (FMDM) is an international Congregation of Catholic women, who follow the spirit of Francis and Clare of Assisi. The FMDM works closely with a dedicated Senior Management Team who provide their professional skills and expertise to assist the FMDM Leadership Team in managing the administration and mission of the organisation.

The Role

This is a pivotal role where you will need to take ownership of all aspects of meeting coordination, including organizing meeting schedules, preparing agendas and pre-meeting papers, collating and distributing all relevant information/documents, attending meetings to take minutes and ensuring the accuracy of information. Distributing minutes and managing action points, post-meeting.

Your duties will include, but not be limited to:

  • Create reports and collate material, as required.
  • Prepare documents related to the Congregation’s activities, as required.
  • Provide secretarial support for the central administrative hub, and practical support for conferences or meetings.
  • Attend meetings as required to provide secretarial support.
  • Administer meetings for our Leadership Team, Trustees and the Senior Management Team.
  • Ensure records of all meetings are sent to the Congregational archives.
  • Assist the Senior Management Team and FMDM Leadership Team in day-to-day management and administration, as required.

About You

To succeed in this role, you will need to be highly organised, thorough, and accurate. You should have experience working in a similar role and have outstanding communication skills, both written and verbal. You will be able to use your initiative, plan ahead, work independently and be able to prioritise accordingly. Proficient IT skills (Microsoft 365) are a must. Additionally, you should have the ability to work independently and as part of a team.

This post requires an enhanced DBS (Disclosure and Barring Service) check and employment is subject to 2x work references.
