The postholder will be part of a team of Administrators who will work across Schools within the Faculty to provide an effective and efficient administration service to staff and students. Postholders will provide Undergraduate and/or Postgraduate course administration and administrative support relating to programmes, assessment, quality assurance, and student conduct and complaints processes and procedures.

Main Duties & Responsibilites:

  • Provide information and guidance to students, staff and external stakeholders, dealing with enquiries in a professional and timely manner on matters relating to programme administration and governance procedures.
  • Set up and maintain individual records for students undertaking Undergraduate, Postgraduate and Continuous Professional Development programmes.
  • Prepare student joining information and course handbooks in liaison with the appropriate colleague.
  • Produce course participant lists and supporting documents in advance of each course commencing.
  • Upload course materials and publish assessments on the Keele Virtual Learning Environment (KLE) and other similar platforms as appropriate in a timely manner.
  • Collate draft assessment documents from academic colleagues and liaise with external examiners regarding the approval of these.Liaise with academic colleagues to resolve anomalies on assessment documentation.
  • Liaise with the Exams Team and relevant academic colleagues regarding the requirements for all centrally scheduled assessments and exams.
  • To undertake activities related to exam board preparation and support.
  • To provide appropriate administrative support for Extenuating Circumstances, for example entering and removing relevant codes in SCIMs and monitoring extensions.
  • Work with the relevant colleagues to implement teaching and assessment adjustments for disabled students with students who have declared adjustments.
  • Liaise with external examiners regarding exam board attendance and script sampling.
  • Set up KLE drop boxes for student assessments and monitoring assessment submissions.
  • Enter marks onto the SCIMS system and undertake entry adjustments in relation to late assessment submissions.
  • Assist the School’s Academic Conduct Officer in the processing of cases including updating SCIMS with investigation outcomes and ensuring that appropriate reassessment provision is available in accordance with investigation outcomes.
  • Coordinate the delivery of student evaluation of teaching, collating responses and reports from module teaching teams and preparing summary reports for consideration at the relevant committees.
  • Liaise with the Student records team regarding the confirmation of students’ progression outcomes and the calculation and agreeing of awards for Senate.
  • Monitor records of student absenteeism and authorised absence requests.
  • Provide a comprehensive administrative service to various committees/team meetings including preparing agendas, taking minutes and liaison with internal and external colleagues, and documenting/undertaking follow-up actions where appropriate.
  • Collate quality assurance materials required for quality audits, assist with administration of quality assurance and governance procedures, and organisation of regulatory/University validation events with academic leads.
  • Identify prize nominees and associated administration of prizes, including liaison with prize sponsors, arrangement of associated work placement activity and necessary travel and subsistence requirements.
  • Prepare straightforward analysis, manipulation and interpretation of data using electronic systems including SCIMS. Run and present standard reports.
  • Work flexibly within the team, providing colleagues with general assistance and support to ensure the effective day-to-day operation of administrative service.
  • Actively participate in the organisation and running of University and School events such as open days, clearing, induction and graduation events.
