As part of a busy, fast-paced department, you’ll help us keep things running like clockwork.

The scale of the property projects we’re undertaking is huge. And that’s why we need a team of organised, efficient and astute administrators. You’ll log requests for funds and invoices, produce site details and manage diaries. Plus, you’ll control all service charges, lease and rent information. In short, you’ll make sure our t’s are crossed and our i’s dotted. It’s no mean feat, but it’s rewarding.

We do things our own way at Aldi. But whatever we’re doing, we must be getting it right. With a wave of impressive sales figures behind us, we’re opening new stores at lightning speed. It means our property teams are always kept on their toes.

Role: Regional Property Assistant
Contract: 18 month FTC
Hours: Monday - Friday, 8am - 4:30pm
Location: Atherstone Regional Office

We are recruiting for a Property Assistant to work in the Atherstone Property Team for a fixed period of 18 months, commencing1st March 2022, as a maternity cover.

The candidate must be able to manage a full and varied workload. The role demands a proactive and positive attitude, teamwork, high attention to detail, meticulous organisation and effective time management as well as the drive to deliver quality.

A significant proportion of the role involves invoice processing, facts, figures, numbers, and the use of Excel in addition to emails. The position requires strong teamwork and communication skills, attention to detail and the ability to work in a fast-paced environment, demanding adaptability to an ever-changing set of requirements.

The responsibilities of the successful candidate would fall in line with the usual duties of a Property Assistant and may include, but are not limited to:

  • Analysis of expenditure and production of monthly reports
  • Liaising with other Regional and/or National Departments and members of the Professional Team e.g. Solicitors, Quantity Surveyors, Architects
  • Production of comprehensive application forms (New stores/Extensions/Site Sale/Relocations) for submission to Senior Management including use of CACI (sales forecasting tool)
  • Collation and supervision of maintenance reports from Area Managers
  • Working closely with Property Managers to ensure the maintenance process is complying with all current legislation
  • Liaising with external contractors and accurately recording contractor documentation, works orders and legal contracts including four-eyes checks
  • Accurately logging, allocating and coding invoices in accordance to National guidelines
  • Reconciliation and monitoring of costs for various sites and store builds
  • Maintaining and submitting accurate documents to National Property and National Finance
  • Complying with auditable National Property Guidelines
  • Ordering of banners for major projects
  • Director credit card expense reconciliation and form completion
  • Directors and wider team diary management including construction meetings and recurring tasks
  • Providing administrative support to the Property Director
  • Maintaining an efficient filing system
  • Dealing with email and telephone enquiries (internal and external)
Essential Skills / Experience
  • Invoice control / Project administration / Experience in a fast-paced, deadline driven environment
  • Proven ability to work on own initiative and with a wider team.
  • Excellent listening, interpersonal, written and oral communication skills
  • Positive, collaborative attitude
  • Excellent organisational skills and attention to detail
  • Ability to effectively prioritise and execute tasks whilst under pressure
  • Willingness to take responsibility with a pragmatic, goal-oriented approach
  • Accuracy at record keeping
  • Passionate about delivering a great service and conscious of the impact that their work has on the wider business
  • Proficient use of MS Office suite (Intermediate Excel as a minimum)
  • GCSE Maths and English, Grade C or above
Desirable Skills / Experience
  • Project accounting
  • Developing policies and procedures
  • Ability to interact across all levels within the business
  • Formal accountancy qualifications (AAT / use of SAP)
  • Advanced Excel - Visual basic (macros)
