The opportunity

Regional Operations is at the heart of CBS and plays a key role in EY’s ambitious growth strategy. The Regional Operations Contracts team covers contracts for Talent, Technology, Facilities Management, Professional Services, Travel Meetings and Events, Client Technology, Business Development and Brand Marketing and Communication (BMC)

Reporting to the Contracts manager for BMC the Contracts Associate will be responsible for governance, reporting, process and support to ensure that all the contracts used with external providers are consistent and in line with the firm’s processes and guidelines. The role is key in supporting the contracts process for Travel Meetings & Events although this role is flexible and will need to cover the other areas in BMC as required time to time. The role will help co-ordinate contracts with key stakeholders, ensuring compliance and processes are followed and in addition the role will pay a key part in the implementation of PO’s for the UKI Firm.

Your Key Responsibilities
  • Supporting stakeholders with their meeting and event requirements
  • Ensuring compliance to regulatory process for the various different external relationships being set up by meetings and events function
  • Managing/coordinating intake forms with procurement
  • Working with legal/procurement and EY’s external provider to ensure contracts are fit for purpose for UKI region.
  • Follow up on contract status and helping to unblock any issues
  • Manage budget approval flow and follow authorisation levels as appropriate
  • Support stakeholders on their low value contracts in brand marketing and communications using appropriate Legal templates ensuring alignment to the firms process and guidelines.
  • Supporting the Contracts Manager to work closely with procurement, legal and independence on any areas that require additional advice or escalation.
  • Manage stakeholder queries providing guidance on all contracts process and policy.
  • Ensure governance is completed effectively and efficiently
  • Content uploads for EY’s ‘small supplier’ portal ‘SupplierLink’
  • Onboarding support
  • Supplier Due Diligence Docs (non-disclosure agreements)
  • Contributes to key themes such as Sustainability, Diversity & Inclusion in supply chain

Skills And Attributes For Success
  • Experience of working in marketing category and/or meetings and events
  • Commercial mindset
  • Experienced in working autonomously, delivering to deadlines
  • Must be able to work well under pressure on multiple different items at the same time
  • Knowledge of contract structure and procurement processes
  • Skilled at juggling multiple stakeholders
  • A can-do attitude; being able to deal with a number of projects simultaneously whilst in addition, reacting to inbound work.
  • Excellent communication skills.
  • Very detail orientated, thorough and organised
  • Proficient IT skills
  • Ability to administer contracts with accurate and precise attention to detail

To qualify for the role you must have:

Demonstratable experience in administration, procurement related, or contract management roles and one or all of marketing, travel, meetings and events experience.
