Job Summary: We are seeking a detail-oriented and highly organized Office Administrator to manage our office operations effectively. The successful candidate will be responsible for maintaining both paper and electronic files, ensuring they are well-organized and easily accessible. In addition, the Office Administrator will collaborate with the executive team to maintain a well-maintained office environment. This position requires the ability to thrive in a fast-paced environment and provide prompt responses to inquiries from team members, clients, and work providers.

Responsibilities:

Office Management:Oversee the day-to-day operations of the office, ensuring its smooth running.
Develop and implement office policies and procedures to enhance efficiency and productivity.
Maintain a professional and welcoming office environment.

Supplies and Equipment:Manage office supplies and equipment inventory, ensuring availability and replenishment as needed.
Coordinate equipment repairs or maintenance, liaising with relevant vendors when necessary.

Communication and Correspondence:Answer incoming phone calls promptly and professionally, directing calls to the appropriate staff members.
Contact clients and work providers via phone and email, providing timely responses to inquiries and maintaining effective communication.

Qualifications and Skills:

  • Proven experience in office administration or a related field.
  • Exceptional organizational skills with meticulous attention to detail.
  • Proficient in managing both paper and electronic files.
  • Strong communication skills, both verbal and written.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Proficiency in using office software and equipment, including MS Office (Word, Excel, Outlook).
