Job Description

This role is Monday - Friday, 9am - 5pm.

  • answer, screen and direct calls
  • take and relay messages
  • provide information to callers
  • greet persons entering organisation
  • determine visitor needs in a professional manner
  • ensure knowledge of staff movements in and out of organisation
  • monitor visitor access and maintain security awareness
  • provide general administrative and clerical support
  • maintain visitor register
  • offer refreshments to visitors where appropriate
  • ensure back up when absent from reception desk
  • sort and distribute incoming mail
  • prepare outgoing mail for pick-up
  • maintain equipment and report any malfunctions
  • monitor, control and order office/canteen supplies
  • set up meeting rooms with necessary stationary and equipment
  • organise catering for meetings
  • keep reception area clean and neat
  • maintain and organise reading material
  • organising flights/accommodation where necessary via verified suppliers


Qualifications

  • Good IT and system skills
  • Effective communication skills both written and oral
  • High level of attention to detail
  • Good organisational skills with the ability to multi task and prioritise
  • Practical experience in reception, accounts or customer services environment
  • NVQ GSCE A-C Maths/English/Science/ BTEC Business
