The Role

The role of the Receptionist / Facilities Assistant will often be the first primary contact for visitors, employees, contractors and building management services. The position offers support and initial management of visitors and contractors to the building from a point of parking, security, access control, safety management, welfare and catering. The role also ensures that visitors and contractors vacate the building at the end of their visit in a safe and secure manner or if emergency issues arise.

The role will also manage and oversee the day to day issues that may arise in the building informing the FM team or external contractors, overseeing their visits to site to carry out defined maintenance functions. You will offer a central liaison point for all employees in terms of FM, cleaning, stationary, meeting rooms, travel, catering, visitors and security and interaction between building management services.

Day to Day

  • Ensuring the reception area is maintained to the highest standard, clear from clutter and prepared for the receipt of visitors portraying Vax in the highest standard.
  • Booking and efficient management of allocated and temporary Car Parking ensuring only appropriate vehicles are parked within the building and correctly planned and communicated to building management.
  • Liaison with building management for the control of visitors and ensuring visitors are received, recorded and moved to the correct locations in preparation for their visit.
  • Booking of meeting rooms where required for external visitors, meetings and events to ensure the rooms are clean, tidy and prepared and suitable for the activities the room is being used for. This may involve pre-planning management.
  • Receiving of main reception calls and transferring to the appropriate department.
  • Support personnel in completing UK travel arrangements, hotel bookings and international visa’s where required.
  • Collecting outgoing post, sorting, checking and franking ready for Royal Mail collection. Having regard for most appropriate and cost effective method of sending.
  • Ensure all Health and Safety procedures are followed at all times by all building’s users.
  • First point of contact for all facilities management activities relating to the building management recording onto the Systaid system and communicating to the FM team and appropriate contractors.
  • Undertake the role of Deputy Fire Warden

What we need from you!

Proven experience and background in dealing with Facilities Management support activities, contractors, building management teams and Hard and Soft FM services.

  • Administrative skills for reception and clerical duties.
  • General understanding of health safety.
  • Planning, time management and multitasking.
  • Computer literate in the use of packages including Microsoft Windows, Email, Word & Excel , PowerPoint.
  • Ability to communicate directly with all levels of employees, management and customers.
