Thomas Jacks is a privately owned business that has been successfully trading for over 27 years as a trade-only distributor of night vision, thermal imaging, day optics, gloves and armour, lights and beacons, outdoor clothing and many other related parts and accessories.

Thomas Jacks is continuing to expand and we are looking for the right person to fulfil the newly created role of Purchasing and Shipping Co-Ordinator. Our products are imported and exported globally so experience of customs, licencing and compliance procedures is essential to be able to fulfil this role. You will be handling shipping related requirements as well as monitoring and reporting on stock levels, maintaining key product information and assisting in product procurement.

You will need to be a personable and proactive individual with excellent written and verbal communication skills that can work independently and within a team when necessary. You will have an analytical mindset, be willing to learn and be able to consistently perform under pressure to meet deadlines.

Job Description:

In this role you will be managing and completing all international import and export processes and procedures to ensure shipments arrive seamlessly while making certain we always remain compliant. This will included chasing and checking all shipping related documents for accuracy and completeness, tracking product under special customs procedures such as temporary imports/exports or inward/outward processing relief to comply with deadlines or restrictions. Where appropriate you will be applying for export licences, ensuring we have the correct approvals for all controlled movements of goods and reporting to the relevant authorities where necessary.

The role will also require placing orders and communicating with suppliers, updating our systems with delivery dates and relevant supplier information such as pricing and product certification. On a day-to-day basis, you will monitor

stock levels, report real and potential requirements to relevant stakeholders and communicate any perceived issues in the supply chain to minimise potential supply problems. Where necessary you will chase suppliers and service providers to ensure shipments are received as scheduled and all critical deadlines are met.

You will liaise with couriers and hauliers to maintain the best possible rates and service levels and determine the most appropriate shipment methods depending on the commodity, location, volume, or urgency of requirement and communicating this to suppliers.

In a nut shell your responsibilities will be:

· Obtaining, processing, and creating documents and processes for imports and exports

· Managing customs clearances

· Co-ordinating and monitoring shipments

· Liaising with couriers, freight companies and suppliers

· Maintaining product master data including commodity codes, control list classifications, country of origin and tariff rates

· Monitoring and maintaining stock levels

· Placing orders with manufacturers, monitoring delivery schedules

· Communicate any changes to relevant stakeholders

Qualifications/Experience:

· Experience of customs requirements and processes

· Knowledge of shipping controls and regulations

· Understanding of import and export licenses and procedures.

  • Purchasing experience would be beneficial but is not essential
  • Strong IT skills
  • Ability to implement, improve and communicate operational processes

· Experience of SAP B1 would be useful but is not essential
