Company Information

Roamy Earth is small but fast-growing business, specialising in creating bespoke experiences to music loving travellers all over the world. Our business model includes a specialist ‘staff travel’ department that offer administrative support to facilitate and coordinate all staff international travel arrangements for Roamy Earth and our parent company Event Horizon.

Purpose of Role

Staff travel is supplied to all employees and external partners who we require to be onsite for the setup, execution and breakdown of a variety of music festivals and events across the globe.

With this in mind, this position is integral to the growth and success of our staff travel operations. Your responsibilities will include booking and coordinating all travel requirements for our internal employees and some external partners.

The role is remote but there is also an element of onsite logistics support offered where you will need to travel to some of the worlds best destinations, all expenses paid.

You will be efficient and thorough in your approach, have excellent planning and problem solving skills and have keen eye for detail.

The successful applicant will have experience handling the administration and coordination of staff travel for large conferences, or handling large group bookings including delegate lists, whilst also be very comfortable booking single components for smaller trips as and when required.

ROLE & RESPONSIBILITIES

  • Booking and coordinating all aspects of staff travel.
  • Liaising with employees directly and catering for individual needs.
  • Booking flights, hotels, car hire, in resort shuttles/transfers.
  • Liaising with our Artist booking team and collaborating on Artist, Band, Crew and VIP travel.
  • Delivering first class service and maintaining an ’above and beyond’ attitude.
  • Working within strict travel budgets for each event.
  • Ensuring cost effective solutions are provided at all times, whilst adhering to policies.
  • Maintaining strong and effective supplier relationships.
  • Delivering travel itineraries to each employee, sharing essential travel information.
  • Processing all associated administrative tasks.
  • Flexible approach to your work pattern in light of our peaks times around our event programme.
  • Suggest any improvements you identify through your day-to-day activities.
  • Keeping yourself up to date with travel and tourism news and regulations.
  • Manage multiple travel requirements simultaneously.
  • Contribute to the wider Roamy strategy when required.

STAFF EXPEREINCE

The main focus of this role is to offer a friendly, efficient, accurate and first class staff travel experience.

You will take pride in the accuracy and efficiency of all staff data.

Have good researching skills and be able to gather accurate information quickly and accurately.

You will have strong communication skills to ensure accurate communication across the group.

The ability to identifying our staff needs and take an proactive approach to maintain positive experiences.

Collaborating with the group management team to enhance the service and brand awareness.

RELATIONSHIP AWARENESS

You will be responsible for building and maintaining strong internal relationships with the various departments within our businesses, including the CEOs and Directors, Heads of department and events teams. You will manage various relationships externally with our event partners and suppliers. You will have a positive outlook and inspire your peers by demonstrating exceptional relationship skills and professionalism at all times.

EXPERIENCE

  • Experienced group or conference travel agent or administrator.
  • Experience travel agent with conference or large group booking experience.
  • Working knowledge of a GDS system.
  • Good knowledge of industry suppliers, destinations and hotels.
  • Experience booking and coordinating travel for others.

SKILLS

  • Excellent interpersonal and communication skills.
  • Efficient and organised.
  • Excellent time keeping, problem solving and organisational skills.
  • Must be able to multitask, prioritise and demonstrate adaptability.
  • Strong work ethic and team player attitude, with strong independent initiative.
  • Excellent attention to detail and cross checking skills.
  • Confident working independently and alongside a team.
  • Able to travel internationally when required (Travel expenses covered by company).
  • Must be confident and personable with experience dealing with clients and/or stakeholders.
