Role Purpose

The Senior Receptionist is a key role. In this role you will be performing a variety of tasks including call management, visitor management and involvement in facilities related tasks across a global scale.
You will be responsible for representing Jones Lang LaSalle in the local and regional business, IFM, and Real Estate community in order to promote Jones Lang LaSalle’s reputation and capabilities to prospective tenants and clients.

What this job involves
Manage all incoming calls with the potential for call routing from other client locations within the portfolio.
Visitor management such as ensuring a high level of customer service is delivered at all times.
Management of the reception team members.
Support the account & Account Director with administrative tasks.
Oversee meeting room schedules and bookings.
Arrange catering for meetings where required.
Supporting with internal client events (including outside of normal working hours, if necessary and compensated according applicable collective agreement).
Maintain role as primary contact for service requests generated by the client’s staff on the dedicated Corrigo system or via phone.
Manage the dedicated Corrigo system to ensure that tickets are completed within SLA and the system is updated to reflect status.
Assist with the management of vendors and contract management.
First point of contact for landlord queries and escalations.
Procure when needed supplies and equipment to manage the office.
Conduct meeting room and site inspections and report defects as necessary.
Ensure accurate and timely reporting of staff, equipment and systems’ malfunctions and near-misses in both Client’s and JLL’s reporting tools.
Support adherence to environmental and health and compliance.
Support portfolio wide initiatives.
Complete mandatory JLL training as required.
Ad-hoc tasks as required such as supporting the wider account team on a global scale.

Skills and experience:
Strong customer service skills.
Self-motivated person and able to work in a team.
Ability to multi-task and be very well organised.
Strong interpersonal skills with training experience to guide multifunctional teams.
Excellent PC skills, proficient in Microsoft Word, Excel, Outlook.
Interest in continuous improvement and development.
Languages: Must be fluent in English.
