Job Description

Fundraising Administrator / Data Entry Administration Assistantwho has excellent administrative, computer, numeracy and communication skills with the ability to work to a high level of accuracy and handle complex figures is required for a well-established Charity based in Canterbury, Kent, South East England.

JOB OVERVIEW

We have a fantastic new job opportunity for a Fundraising Administrator / Data Entry Administration Assistantwho has excellent administrative, computer, numeracy and communication skills with the ability to work to a high level of accuracy and handle complex figures.

Working as a Fundraising Administrator / Data Entry Administration Assistant you will be the first point of contact for members of the public wanting to support the charity’s work and will understand the importance of first impressions and portray a professional and friendly manner over the telephone, e-mail and face-to-face.

As a Fundraising Administrator / Data Entry Administration Assistant you will carry out duties such as creating reports, coordinating mailings and keeping the fundraising database accurate and up-to-date. Whilst also supporting the implementation of a range of fundraising strategies to raise support and funds from individuals, community groups, events, businesses and grant-making sources.

As a successful candidate you will be confident, organised and able to manage large amounts of data and competing deadlines.


DUTIES

Your duties as the Fundraising Administrator / Data Entry Administration Assistant will include:

  • Act as the day-to-day lead for the fundraising database, Raisers Edge, including working with Fundraising Officers to maintain accurate and up-to-date donor records, income recording, creating reports and advising the team
  • Conduct monthly reconciliation of fundraising income in liaison with the finance department
  • Monitor and process all online income onto Raisers Edge – from the website, online giving platforms such as JustGiving, CAF, VirginMoneyGiving etc
  • Provide detailed data analysis about income and supporters
  • Support segmentation of donor data and develop mailing reports from the database
  • Collaborate with Fundraising Officers for all enquiries to the charity in relation to donations and fundraising activities
  • Provide exemplary customer service to all donors and supporters
  • Collaborate with Fundraising Officers to process and record donations, and send thank you letters
  • Process and record complaints and subject access requests in accordance with our data protection and complaints procedures
  • Ensure gift aid claims are regularly requested and processed
  • Support fundraising activities and sponsored events during busy periods, through the fulfilment of fundraising materials requests, mailing of fundraising packs, processing of sponsorship forms, and promotional mailings
  • Support the administration of all collections to ensure that agreements are in place, money is counted and banked accurately, and all correspondence is sent
  • Assist in the organisation and coordination of events
  • Provide desk research to support the different fundraising and communication activities
  • Provide reception support as and when required

CANDIDATE REQUIREMENTS

Essential

  • Providing administrative support in a fast-paced office environment.
  • Handing financials and complex figures
  • Using a database and maintaining effective and accurate office systems and procedures
  • Using a range of computer software applications such as Microsoft Word, Excel, PowerPoint and Outlook
  • Excellent attention to detail
  • Excellent at creating and updating Excel spreadsheets
  • Good at creating reports to represent information
  • Good writing communication skills with an ability to write letters and respond to emails
  • Excellent computer literacy skills
  • Excellent numeracy skills, including accurate data inputting
  • Excellent interpersonal skills with a friendly and confident approach in handling enquiries
  • Ability to train colleagues at all levels in areas of data management
  • Willingness to learn about Raisers Edge

Desirable

  • Database course qualifications
  • Using a fundraising database to manage customer, client or donor relationships, ideally Raisers Edge
  • Working within a charitable organisation
