Introduction

Lyndon Brett Partnership (LBP) is a professional practice of Chartered Surveyors based in the heart of Bridgwater, Somerset. We have been operating in Bridgwater for over 30 years. We are regulated by the Royal Institution of Chartered Surveyors (RICS), the Association of Valuers of Licensed Property (AVLP) and the Association of Residential Letting Agents (ARLA).

We aim to offer all of our clients a diverse range of property and construction related professional services ranging from Property Management, Valuation, Agency, Design and Drawing, including Schedules for Dilapidation purposes, Party Wall matters, Building Survey Reports, as well as many other professional services, relating to the property and construction industry, which can be tailored accordingly. We also cover Commercial Lettings and Sales and Residential Lettings.

We offer a complete Property Management service for Residential, Commercial and Block Management. Our Property Management encompasses the services hereunder.

· Find a Tenant Service

· Deal with the legal obligations of the Landlord & Tenant relationship

· Drawing up of Licences and Leases

· Collection of rents

· Coordination of maintenance & repairs using Fixflo

· Direct Point of contact for Tenants

· Health and safety management including Gas & Electrical Safety Checks

· Periodic Inspections of the property

Job Description & Person Specification

Job Title: Property Co-ordinator

Position:Part time

Location: Queen Street, Bridgwater, Somerset

Job Purpose: To undertake an efficient and effective Property Co-ordinator function for the office of Lyndon Brett Partnership. A flexible approach and the ability to work under pressure are essential qualities required for this post.

Responsible to: Tina Stoel-Walker, Practice Manager

Main Responsibilities:

Working as part of a small team providing Residential Co-ordination & Property Management roles to Lyndon Brett Partnership including:

· Residential and Commercial letting administration and co-ordination (training provided).

  • Accompanying clients on viewings of properties (training provided).
  • Preparation of tenancy agreements (training provided).

· Property Management administration for Commercial, Residential and Block Management (training provided).

· Typing (including letters, emails, and reports). Accuracy, speed and attention to detail are essential.

  • Telephone duties and dealing with over the counter enquiries.

· Banking.

  • Weekly Fire Alarm checks.
  • Maintenance of filing systems.
  • Dealing with incoming and outgoing mail.
  • Updating various office databases including the Fixflo for repairs and maintenance and Xero for Accounts
  • Preparing particulars of properties for let/sale.
  • Photocopying, scanning, binding of documents.
  • Property key management.
  • Updating relevant websites for Agency marketing.
  • E-Commerce / social media updates for LBP external marketing and promotion.
  • Outlook calendar Management.
  • Efficiencies, looking at processes and procedures within the office that could benefit the use of technical solutions.

Role Definition

The successful applicant will need to: -

  • Work effectively within the office as part of a team or by yourself and be proactive to identify and resolve problems, challenges and opportunities.
  • Take responsibility for quality, accuracy, timeliness and completeness of all work generated by the office.
  • Build up knowledge of the practices’ key areas of work including the Bridgwater property market.

Skills and abilities

· Able to work on own initiative and often without supervision.

· Ability to work on a confidential basis when required.

· IT skills – be able to use the whole suite of Microsoft including Word, Excel, Publisher. Knowledge of other IT packages would be an advantage.

· Ability to plan, prioritise and manage several tasks simultaneously from start to finish, including meeting demanding timescales and dealing with conflicting priorities.

· Clear, concise and creative written communication skills appropriate to a range of documentation, with attention to detail.

· Excellent communication and organisational skills are a pre-requisite for the job. Able to communicate effectively face to face, on the telephone and in writing.

· Tact, diplomacy and sensitivity.

· Energy, self-motivation and enthusiasm, to be able to do what is needed and go the extra mile for LBP if necessary.

· Have the necessary social skills required to effectively relate to the clients, statutory bodies, property and business professionals and staff.

· Possession of a clean driver’s licence would be beneficial.

Other:

The successful applicant will be educated to A-level standard or above, be numerate and literate, will adhere to current good practice and procedures of the office, be able to assess the impact of and report on problems, take pride in their work with an emphasis on accuracy, quality and timeliness of work output and be expected to work to high standards, leading by example.

Proficient use of Microsoft Office suit and familiarity with e-commerce is essential to this role and any Web based skills would be an advantage. Self-motivation even when attending to routine tasks is vital. Being detail conscious, able to prioritise and with ability to spot opportunities, anomalies and mistakes is important.

The post requires a dynamic individual who is innovative, can propose improvements to processes and the working environment and will provide an opportunity to build relationships with clients of the practice to promote the business.

Knowledge or experience of working in the property market would be an asset but not essential.

Note:

This job description is not exhaustive and will be reviewed from time to time and amended by mutual agreement. The post holder will receive regular reviews together with an annual job appraisal with the Practice Manager to review progress and performance.

Employment Details:

Salary: Dependent on experience

Hours: Part time to be decided

Probation: 3-month probationary period

Holidays: 22 days per annum plus Bank Holidays

Pension: The People’s Pension

The hours of work are usually 8:45 to 17:00 Monday to Friday with 45mins unpaid lunch break.
