"Project AdministratorRole ContextThe Group Administrator forms part of the UNCE Functional Management Team of highly experienced and competent construction, commissioning and lifting specialist personnel who support all UK driven Projects throughout their lifecycle.The role is responsible for providing administrative support to, but not limited to the Operations & Execution Team Directors.You Will
  • To read, understand and implement the Company’s Health Safety Environmental and Quality Policy and the arrangements described in the Company Management System documents.
  • Support the Operations & Execution Team Directors with administrative requirements i.e. travel booking, submission of expenses etc.
  • General Administration duties.
  • Organize Function new start details and liaise with relevant internal stakeholders to ensure set up for day one.
  • Manage and maintain the Construction Function Open Position Register (OPR).
  • Act as the Directors DoA for RRF preparation in Taleo.
  • Act as the Operations and Execution Director’s DOA for submitting weekly timesheets as and when necessary.
  • Arrange meetings and record minutes when required.
  • Generate Worley/Contract associated forms (i.e. personnel requisitions, new start forms, travel requisitions, interim reviews).
  • Arrange hardware/software etc for new starts joining the project.
  • Update contact list, project distribution list with new starts/leavers.
  • Maintain accurate filing system for project letters, reports, etc.
  • Assist new joiners with their one month and three-month Onboarding process.
  • Manage SharePoint site by creating a ‘Folder’ structure for all key construction deliverables and ensuring site is kept updated at all times.
EssentialYou’ll have:
  • Demonstrable experience in similar role
  • Good understanding of office administration processes and practices
  • Regular use of major software packages i.e. Word/Excel and PowerPoint.
  • Working knowledge of SharePoint software, with experience uploading documentation
  • Ability to interface and interact with Function and Project Representatives at all levels.
  • Experienced in the production of detailed documents and reports.
  • Maintain confidentiality at all times.
  • Excellent Communication skills.
