Torbay Pharmaceuticals (TP) have a great opportunity for an experienced administratorwith expertise in supporting project management offices and programme teams, this a permanent position for 28 hours per week

Set up in 2020, the Programmes, PMO and Strategic Change team is growing fast with ten people now in the team. We are a very diverse group both in terms of professional backgrounds (pharmaceuticals, financial services, publishing) and age range . The most rewarding part of our team is to be able to make a difference to our colleagues and TP whilst having a bit of fun.

Main duties of the job

  • Providing administrative support to the major programmes of work including meeting minutes, updates to project logs and plans
  • Supporting the co-ordination of work across different workstreams e.g. setting up meetings and training sessions
  • Managing and facilitating relationships with a diverse group of stakeholders both internally and externally including liaising with people on updates
  • Writing monthly reports and creating PowerPoint presentations with the programme managers
  • Working with finance and the programme managers to ensure budgets and costs are managed
  • Assisting the PMO lead with the creation and monitoring of project resources
  • Supporting TP with general project organisation and planning activities
  • Working with the departmental head on ad hoc pieces of programme, PMO and strategic change work.

Qualifications
Essential criteria

  • 5 GCSE’s (or Equivalent) including English & Maths

Desirable criteria

  • Relevant administrative and project management knowledge via formal diploma level qualification or experience

Skills

  • Excellent communication skills – both verbal and written
  • Methodical and organised approach to work ensuring the ability to work accurately under pressure
  • Ability to deal effectively and appropriately with people at all levels from a range of organisations
  • Demonstrate ability to problem solve and prioritise workload

  • Ability to work within established procedures and timescales
  • Ability to present information in a concise manner
  • Ability to pay attention to detail

Experience
Essential criteria

  • Substantial administrative/Co-ordination experience
  • IT literate and able to use full range of Microsoft packages including Excel, Word and PowerPoint (advanced)
  • Working in a project environment

Desirable criteria

  • Working in a pharmaceuticals organisation

Knowledge
Essential criteria

  • Working knowledge of project management tools and techniques
