Multi skill Administrator required to also be involved with Procurement, Sales/project administration to join the logistics team of a large engineering company based in Halesowen.Due to an increase in certain sectors of the business, we are seeking an experienced Project Document Controls Administrator, who has some experience within Credit Control and Logistics. A background in large Project administration controls would be advantageous.Although the role is varied, below are some main responsibilities that will be required in the roleProcurement & Sales/Project Administration
  • Raise RFQs to existing suppliers for material / parts or services.
  • Creating POs to existing suppliers for material / parts or services.
  • Maintain delivery dates of open purchase orders and chase suppliers on deliveries.
  • Liaise with production daily regarding purchasing requirements.
  • Deal with a variety of different queries from customers.
  • Provide cover to other departments undertaking all related duties.
  • Assist with general duties necessary to assist the smooth running of the company.
  • Maintain a system for document management, electronic or hard copy.
  • Register and action all project documentation on the chosen document management system or collaboration system.
  • Control the issue and distribution of project documentation.
  • Ensure that all documentation is issued according to the relevant standards.
  • Maintain a controlled and secure storage area for project documentation in a format dictated by the project.
  • Conduct a check on all documentation passing through document control to ensure documents meet the relevant protocols i.e. document numbers, revisions etc.
  • Create reports for project documentation as requested.
  • Apply quality standards, procedures & processes for the company and the department.
  • Support the development of document control procedures and processes contained within the company Document Management System
  • Assist in audits when required
  • Manage the archiving of documentation and assist in the creation of record retention documents in conjunction with the Design Team Leader / Design Manager
Credit Control / Logistics brief
  • Raise packing lists and create shipping documents.
  • Notify customers of finished goods and shipping details.
  • Book transport when required and liaise with the production team.
  • Creating and upholding payment procedures and policies that ensure timely payment
  • Responding to client queries
  • Keeping customer retention levels high
  • Reconciling accounts
  • Providing administrative support to finance team
  • Keeping close watch on debtor account balances
  • Reducing debtors’ ’Days Sales Outstanding’
  • Ensuring the team adhere to credit and collection procedures
What Will Assist In Convincing Us
  • Excellent IT skills including Microsoft Excel, Word and Outlook
  • Advanced Excel skills will be seen as a benefit
  • Good level of English language (written and spoken communication)
  • Ability to manage own time scales and workload
  • Ability to work autonomously
  • Numeracy a strength with high attention to detail and accuracy
  • Ability to interact and communicate with people at all levels within the business
  • Ability to work collaboratively with all departments
  • Knowledge of relevant document control software would be advantageous, but training can be given.
