This is a flexible role that will involve the individual to be proactive, well organised and able to effectively engage with a wide range of stakeholders to ensure processes are reviewed, updated and promoted on an ongoing basis.

A central operational role acting as a shared service to the wider Property Management business line.

Key deliverables

  • Overall ownership of the Property Management business line processes, maintain a central database of processes and ensuring they are reviewed and updated in accordance with business line requirements.
  • Maintain process documentation to consistent level of detail and required quality.
  • Strive to deliver updated process documentation in line with the process review plan agreed by Property Management Operations Board (PM Ops).
  • Conduct process workshops with all relevant stakeholders in line with the process review plan.
  • Support Subject Matter Experts (SME’s) and stakeholders in reviewing their processes.
  • Report process review plan progress to PM Ops.
  • Contribute towards the promotion of process and communication of process updates to the wider business (including communications, training, presentations etc.)
  • Production of ad-hoc process diagrams (for example client specific processes. Urgent process amendments/improvements)
  • In conjunction with SME’s, actively look for opportunities to improve efficiency when conducting process reviews.

Key Responsibilities

  • Organise and chair process workshops with SMEs and relevant stakeholders, in line with the process plan.
  • Scrutinise and challenge SMEs and stakeholders to ensure consistency, accuracy and adequate levels of detail (including statutory and regulatory obligations) are identified and documented.
  • Identify and challenge logical inconsistencies within processes.
  • Record and collate workshop output in an organised, consistent and accurate manner.
  • Plan, coordinate and drive reviews of workshop output to achieve required management sign off.
  • Maintain Property Management process documentation ensuring accuracy, completeness, consistency and compliance with Group requirements.
  • Work with the relevant stakeholders from across the business line to identify and document process updates and opportunities for improvement and efficiencies.
  • Provide management with relevant information, reports, analysis and insight relating to process status and the process review plan.
  • Proactively build non-partisan relationships with all teams across Property Management and the business.
  • Act as central point of contact for administration, organisation and maintenance of Property Management processes.
  • Work closely with the Controls Manager to help identify risks and appropriate controls.
  • Provide assistance to maintain consistency of process communication and training including new joiners and process updates.
  • Develop a broad understanding of PM processes and how they interrelate including an awareness of key dependencies, touchpoints, inputs and outputs.

  • Commercial property management experience/knowledge is desirable but not essential
  • Proficient in the use of Word, Excel, PowerPoint, Visio
