An established insurance business in Halesowen seeks to hire a well organised Office / Facilities Co-ordinator to join their busy office.

This is an excellent opportunity to join this expanding business on a part time basis with flexible hours covering 20 hours per week over 5 days.

Key responsibilities include:

  • Ensuring that basic facilities are well-maintained and coordinate maintenance to core utilities services to the Business.
  • Overseeing contracts and providers for services including security, parking, cleaning, catering, technology etc. Manage correspondence with service vendors
  • Ordering essential business supplies e.g. paper towels, beverages, and stationary.
  • To support the HR and H&S Coordinator in managing the upkeep of equipment and supplies to meet health and safety standards.
  • Inspect buildings’ structures to determine the need for repairs or renovations.
  • Review utilities consumption and strive to minimize costs.
  • Devise sensible solutions to facilities problems such as car parking space allocation, waste disposal, building security etc.
  • Keep financial and non-financial records.
  • Draft reports and make written recommendations.
  • To monitor and action any items in the facilities inbox daily.
  • To manage the weekly cleaning of the office by liaising with the cleaner, ensuring that they are completing the weekly task list.
  • Liaising with I.T. on a regular basis to maintain and update the Company’s asset list.
  • To aid in the efficient onboarding of new joiners, ensuring that they have the tools required to do their job e.g. photocard pass, car parking, technology, computer log on details and correct access to systems/drives.
  • To manage the weekly health and safety checks in the HR and H&S Coordinator’s absence, to ensure that the business is compliant with health and safety requirements.
  • To proactively manage contract renewals and maintenance checks e.g. boiler checks, tv licences, alarm, gas and electric.
  • To manage the car parking for staff, updating the car park log as and when required, and communicating the changes to the relevant supplier.
  • To engage and manage suppliers in line with our terms of business, ensuring that we are receiving value for money and they are providing the service within the agreed timescales.

To be considered you must have facilities or office management experience within a similar environment.
