Your Responsibilities:

  • Working closely with the Depot Manager, the post holder is responsible for day-to-day management of the Wales depot.
  • Make sure all correct equipment is in suitable condition and on vehicles as required in order to carry out all duty effectively to completion. Hire additional equipment as required to complete a job.
  • Management and planning the maintaining of servicing and calibration of all plant as necessary

  • Using the paper/computer systems to collate and report business information as required.
  • General management of all the office administration duties required for the proficient running of the depot and ensuring the efficient and professional standards of the office and depot. This includes ensuring the depot is kept clean, maintained, any waste stored correctly & compliantly and that all work takes place safely in accordance with Health and Safety policies & procedures
  • Ensuring all invoicing administration is up to date and WIP is reduced to the lowest practicable levels, chasing for customer Purchase Orders when required to ensure all invoicing is issued at the earliest possible opportunity.
  • Hold full responsibility for effective communication with all field staff at all times: rearrange any work requirement should this be needed. As part of this, undertake a meeting with workforce regularly, feeding back all aspects of operations to the Depot Manager.
  • Manage training and associated records for all staff including (in conjunction with the Office Manager) the arrangements for training and events to include room booking, catering, travel and accommodation arrangements for staff (if necessary)
  • To allocate jobs and select appropriately trained staff to complete works to a safe and required standard. Additionally, to ensure all paper work and documentation, including job packs, are ready for the following working day for all field staff.
  • Preparing and communicating the on call rota for the Operational employees, liaising with the office to provide details of the emergency call out rota. This includes managing overtime for weekend work.
  • To carry out the health and safety induction for new starters, ensuring that the health and safety induction checklist has been completed.
  • Probation targets should be set by the Operations Manager for all new employees under the Operations managers’ responsibility. The Operations Manager should also meet with the employees at the end of their probation period to discuss their progress and performance and either confirm, extend or terminate their probation as required (liaising with HR should there be issues with performance).
  • To carry out any site visits necessary to ensure correct and full RAMS be completed for all jobs. Method statements and Risk assessments should be subject to regular review, and updated as required. The Operations Manager has overall responsibility for the health and safety of all employees operating under him.
  • Overall responsibility for planning and undertaking regular tool box talks and audits and inspections.
  • To collate and check all paper work and pass to the appropriate department for processing. This is to be done on a daily basis. This includes overall responsibility for the filing and accuracy of all records, which must be kept for a period of not less than 15 months (for maintenance, 12 months for tachos and 24 months for WTD).
  • Preparing quotations, arranging works and pricing jobs for invoicing as required and identifying opportunities for business development and progression.
  • Implement new procedures and processes as required to ensure the depot is fully compliant.
  • Report to the DM any cost savings the postholder may be able to implement or any sales revenue they may be able to implement.
  • Deputising for members of staff during annual leave as required; e.g. Depot Manager.
  • Provide assistance to other departments and managers with day-to-day work and on-going project work as required.


Qualifications and Skills:

  • Must possess relative licence categories to operate and control vehicles which the post holder is qualified to operate.
  • Demonstrate and promote thorough understanding of the importance of RAMS documentation and an ability to work safely within the scope of such documentation, ensuring all colleagues adhere to works instructions identified in RAMS.
  • Willingness to undertake any additional training to increase capability of the division in supplying a service to customers.
  • Ability to communicate effectively both verbally and written, with internal and external clients.
  • Knowledge of all aspects of environmental services related works is desirable.
  • Construction and civils Knowledge is essential.
  • Have experience of leading site teams.
  • Be able to work under pressure to ensure works are delivered to time frames.
