We are Dalkia a facilities maintenance company. We have a great opportunity for a permanent, full time Office Manager, to be based in our corporate office in Sunderland.

Hours of Work

  • Monday to Friday, 37.5hours per week

The Role

  • Manage the Facilities Management Plan for the Alexander site and any satellite locations which fall under the management responsibility of the EDF team
  • Ensure there is a security plan for all locations which fall under the management responsibility of the EDF team
  • Ensure effective arrangements are in place of the management of waste which encourage minisuction, reuse and recycling – working closely with the Environment & Consents Lead
  • Ensure that all public spaces and meetings rooms are functional, easy to use and welcoming
  • Ensure consumables required for the Alexander office are available including catering, stationary, and all other supplies needed to run the office.
  • Set up and manage catering contracts to use for team events and meetings with external visitors
  • Coordinate the planning of all EDF team training to ensure that the timing of training works with operational priorities
  • Develop, own and manage the Visitor Management process
  • Ensure high welcoming standards and attention to detail is adhered to when processing bookings/welcoming delegates.
  • Use and maintain the booking system to plan ahead as well as ensure that all active booking have accurate and complete details.
  • Ensure all data is captured and entered in a timely manner and that all requirements are accurately entered.
  • Logging details of guests to site.
  • Work closely with the Commercial & Procurement Lead to ensure there is an efficient process to requisition work and to manage budgets.
  • Arrange team meetings as advised by the Site EDF Lead Manager and ensure their smooth and efficient running
  • Own and develop the document management system for the client EDF- Renewable team
  • Act as an interface with EDF-Renewables IT team
  • Provide administrative support to the Alexander House team
  • Support with the raising of purchase requisitions and invoice processing for the client EDF renewables team
