Our client a leading provider within their industry is looking to recruit an office administrator to join their busy team.

If you enjoy working as part of a busy successful team then this is the role for you. Our client is looking for for an outgoing, confident Administrator who has the ability to communicate well between on site departments.

Office Administrator

Office Administrator ensures the efficient day-to-day operation of the office, and support the work of management and other members of staff.

Key Job Responsibilities:

  • Answer general phone inquiries using a professional and courteous manner.

  • Direct phone enquires to the appropriate team members

  • Reply to general information requests with the accurate information

  • Greeting visitors to the organisation in a professional and friendly manner

  • Use computer word processing, spreadsheet, and database software to keep the daily databases updated and prepare weekly & monthly reports

  • Sort incoming mail, and courier deliveries for distribution

  • Prepare the daily job sheets for the warehouse and monitor production

  • Prepare the documentation and book the daily couriers for distribution.

  • Chase and monitor purchase orders to ensure they arrive within time schedule

  • Prepare and monitor the samples and supplier returns

  • Monitor and Forward incoming general e-mails to the appropriate team member

  • File invoices and office documentation according to the established procedures

  • Update and ensure the accuracy of the client database

  • Provide administrative support to management and other team members

  • Team Player willing to assist in other areas when required

Skills:

The administrator should be able to communicate effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.

Focus on Client Needs: Anticipate, understand, and respond to the needs of internal and external clients to meet or exceed their expectations within the organisational parameters.

High organisational skills and ability to manage a number of jobs/projects at the same time. With the ability to prioritise own workload

Knowledge of the following:

  • Experience working within an office environment

  • Word, Excel, Power point, Access, email & internet
