JOB DESCRIPTION

JOB TITLE: Night Manager

DEPARTMENTS: All

RESPONSIBLE TO: Front of House Manager

RESPONSIBLE FOR: Night Guest Service Assistants

DIRECT REPORTS: All Guest Service Assistants

LIAISE WITH: All departments and the General Manager.

JOB PURPOSE

To maintain and provide excellent guest service at all times and provide assistance and support to the team. To maximise sales, to minimise costs and ensure quality standards are met.

DUTIES AND RESPONSIBILITIES:

Ø Deputise in the absence of Senior Management and make necessary decisions within given guidelines

Ø Carry out Duty Management shifts, ensuring the smooth operation of the business and the safety of staff and guests

Ø Manage & motivate staff, complying with employment law and company policies/procedures

Ø Provide required daily & monthly reports to Central Office

Ø Maintain up-to-date knowledge of the hotel rates and promotions and take an active interest in the sales function of the hotel

Ø Actively seek to maximise occupancy and yield

Ø Manage and drive quality of hotel and service

Ø Ensure customer care and guest satisfaction at all times

Ø Complete banking on a daily and weekly basis

Ø Liasing with contractors

Ø Complete orders for hotel and manage house stock levels

Ø Take food orders, service drinks at the bar, assist with food preparation

Ø Clear/clean tables, buffet, kitchen and bar and meeting rooms

Ø Conduct monthly stock takes

Ø Take reservations using the hotel reservation system, ensuring maximum occupancy and rates are obtained

Ø Check guests in and out, including preparation of guest bills and authorising payments

Ø Dealing efficiently with day to day billing and guest service queries

Ø Take meeting bookings and confirm food service requirements

Ø Other ad hoc duties as and when required

Ø Report anything considered a health and safety hazard

Ø Prevent abuse and/or destruction of hotel property

Ø Be flexible at all times in order to cover the unexpected needs of the Hotel and outlets

Ø Responsible for looking after Hotel property at all times

Ø Ensure hygiene standards are met

Ø Follow established hotel safety protocols and procedures at all times. Immediately report any health and safety incident, security breaches, concerns or suspicious behaviour to the supervisor or manager on duty

Ø To attend all relevant training as and when required

Ø To ensure that the company dress code is always adhered to

This job requires ability to perform the following:

Ø Frequently standing up behind the desk and front office areas

Ø Shift Work; involve night shift and weekend work.

Ø Basic computer skills to operate various property management and reservations systems.

Ø Carrying and lifting items

Qualifications and requirements

Front desk/guest service experience strongly preferred. Knowledge in Opera/Simphony systems is preferred but not essential.

GENERAL

1. To attend any meeting or training sessions as required by management.

2. To be conversant with:

a) The Hotel Fire Procedures

b) The Hotel and Company Security Procedures

c) The Hotel Health and Safety Policy and Procedures

d) The Hotel facilities and attractions

e) Current Licensing regulations (Food and Beverage Service department)

f) Methods of payment accepted by the Company

g) Hotel operation standards and department procedures

h) Short and long term marketing promotions
