We’re looking for a highly motivated and ambitious person to join our rapidly growing, successful company. Our mission is to provide the best coworking office venues in Manchester, and as our offering continues to expand into new buildings across the city, so too does our requirement to grow our maintenance department. The successful candidate will thrive in a fast paced and exciting work environment with strong organisational skills.

A. Job Role and Responsibilities

At the core of the role is the ability to plan, order and schedule for a wide range of maintenance projects. Working within the Colony Team, the successful applicant will be able to organise themselves and the maintenance department to deliver safe, efficient and aesthetically pleasing Colony venues, growing the department in line with continued Company expansion.

Duties & Responsibilities

· Be a key member of the collaborative Colony Team

· To grow, develop and manage the maintenance department in line with company strategy

· To track and monitor ongoing maintenance works

· Develop and implement maintenance procedures and ensure compliance with safety regulations

· To utilise software systems to achieve accurate scheduling, monitoring and logging of maintenance works

· To contribute to the improvement and development of maintenance management systems and processes, enabling highest levels of efficiency throughout the department

· Coordinate timely delivery of maintenance works in line with scheduled office move ins/outs

· To schedule works for maintenance operatives in best logical order of priority, considering safety, customer impact, company profitability, aesthetic impact, scale of task and availability of required materials.

· To gather quotes from, and coordinate external tradespeople / contractors when necessary

· Communicate project updates, reporting the status & schedule of maintenance tasks

· Ensure works completed adhere to product standards and any quality assurance policies

· Contribute to internal and external team meetings as needed, providing concise and actionable agendas and communication

· Liaise with Colony operatives and trades people during maintenance tasks to ensure jobs materialise to highest exacting standards

· Identify improvements to the overall Colony product and customer experience, actively contributing to the delivery and implementation of such

· Sense check site maintenance logs and coordinate the Maintenance Team to execute actions / tasks

· Carry out responsible quantifying, sourcing and ordering of materials for maintenance, fit-out and refurbishment jobs

· To open trade accounts and foster trade relationships with preferred suppliers

· To book, coordinate and receive deliveries to appropriate Colony venues

· Ensure accurate records of orders and associated admin / paperwork

· Control and monitor inventory

Qualifications & previous experience

· Knowledge of facilities or construction industry best practices, building and accessibility codes

· Proven experience in a supervisory or leadership role

· Passionate and curious about the built environment. Maintain a desire for knowledge about all aspects of what we do at Colony and look for ways to contribute your knowledge and learn from others.

· Computer literacy required. Has experience using email software, scheduling software, Microsoft Excel / other spreadsheet software.

· Self-directed with a high level of initiative and demonstrated ability to meet deadlines

· Open to feedback and a strong desire to learn.

· Thrive in fast paced environment while maintaining excellent attention to detail.
