Grade and Salary: Grade 3, £19,578.00 - £20,761.00pa

28 days annual leave plus 9 buildings closed days (and Christmas Eve when it falls on a weekday)

FTE and Working Pattern: 35 hours a week on a rota basis, 5 out of 7 days and every 4th Saturday.

About Our Team

Based at our Edinburgh Campus, Logistics Services seeks to recruit an enthusiastic and dynamic individual to join our Mail Room team. The team manages the incoming and outgoing mail for the Campus and manages mail distribution and collection to Schools and Services.

Detailed Description

Key duties and responsibilities
  • Collect mail from Royal Mail Delivery Office – including signed for items and PO Box items.
  • Sort all external and internal mail for delivery to numerous mail points in schools and services.
  • Record all incoming registered, recorded and international registered mail for delivery – ensuring signature obtained when delivered.
  • Collection of mail from all internal mail points.
  • Prioritise mail into despatch order.
  • Confirm, stamp and return to Royal Mail all returned mail from schools/services for people no longer at the University.
  • Process mail using franking machine, Royal Mail online business account and Parcelforce online services, ensuring mail is ready for collection at correct time.
  • Respond to all enquiries by telephone, person and email from both internal and external sources.
  • Advise customers of most efficient and economical method of posting an item.
  • Forward Royal Mail/Parcelforce documentation to Logistics Services – required prior to processing invoices.
  • Franking machine – liaise with equipment provider– regarding breakdown/service of machine ensuring minimal disruption to service.
  • Franking machine credit – ensure machine is always in credit.
  • Franking machine – monthly upload statistics to Neopost system.
  • Request stationery from Logistics Services. Order stationery from Royal Mail/Parcelforce online/fax/phone.
  • Carry out daily vehicle checks. Authorised user for fuel cards
Essential

Education, qualifications, and experience
  • Must have full clean drivers licence
  • Must have previous mail room and / or mail/parcel distribution experience
  • Must be computer literate
  • Must have excellent verbal communication skills with a customer focused telephone manner
