Main Duties and responsibilities:

The successful applicant will be expected to:

  • To undertake reception, switchboard and all postroom duties as requested by your Line

Manager to ensure all services are manned at all times.

  • To be efficient and competent in all procedures with particular attention to fire
evacuation, first aid, visitors on site and head on duty processes.

  • To ensure staff, students and visitors have badges, permanent and temporary and be
familiar with the issuing process to meet the College’s requirement for safeguarding all
its learners.

  • To collect trip payments, travel claims and fees from students and operate the till.
  • To be familiar with all College and Learner Services policies and procedures.
  • To become fully conversant with all College courses and the live prospectus to give
initial advice to potential customers whether wishing to undertake full or part time
study. Reception is the main point of contact for course advice and guidance after 5pm.

  • Dealing with telephone enquiries and signposting customers to the correct College
personnel.

  • Giving initial advice to customers on a face to face basis and enquiries in person

regarding all College services and arranging for specialist advice where needed.

  • To be fully familiar and up to date with the identity of all managers for signposting
purposes for bespoke advice.





  • To undertake Call Centre Duties at designated times during the College main enrolment

periods – full training provided.

  • Become familiar and efficient at on-line enrolment and enrolment processes for out of
hours and call centre duty times.

  • To participate in off site promotional events as requested.
  • Maintain records of course enquiries, customer information including mode of contact
for workflow analysis, marketing, general statistical and quality purposes as requested
and pass all information to the Initial Advice & Guidance team.

  • To participate in Student services and advice and guidance rota as required to meet the
needs of the service.

  • To ensure all Learner Services and College literature is current and displayed

appropriately within the reception and postroom area and that the areas are tidy and
well presented.


  • To undertake mentoring duties of new staff members or work placement students as

requested by your line manager.

  • To undertake training of staff new to reception/post room as requested by your line
manager when fully conversant with the role.

  • To give assistance at College functions such as Open Evenings and Enrolment. This may
include some weekend or evening work.

  • To be trained as a First Aider and Defibrillator responder and be part of the College
First Aid/Defibrillator Rota for the site.

  • To undertake any other duties commensurate with the grade of post as may be
requested of you by your line manager at your initial place of work or at any other
premises which the Corporation currently has or may subsequently acquire.

in order to maintain the health and safety of yourself and others.
