Role overview
We’re looking for Global Benefit Administrator to join our team in London as part of our Human Resources function.
Reporting to the Reward and People Operations Manager, this role supports the management of all aspects of employee benefits in all countries that Ascential operates (mainly the UK, the US and Singapore). You will manage monthly administration processes, work with internal and external colleagues to ensure the smooth running of our global benefit plans and create and provide material to aid colleagues understanding of their benefits.
The majority of time will be spent working with systems and data, streamlining and automating processes, and ensuring colleagues are engaged in their benefits arrangements.
Key Responsibilities
  • Manage monthly administration processes related to employee benefits, including supporting payroll, completing benefit administration system processes, and monthly provider reconciliations;
  • Ownership and management of the benefits online administration portal, including acting as the system super-user, running monthly reports, ensuring the information on the site is up to date, managing individual queries and benefit changes, and identifying areas for improvement;
  • Management of benefit related finance administration processes, including raising Purchase Orders/Service Entries, member reconciliation, payment of invoices, tracking spend against budget, and reporting;
  • Design and development of benefit management processes and associated administration guide, working with internal and external colleagues to ensure the smooth and timely delivery of benefit management requirements (eg. monthly payroll, underwriting, joiner/leaver monthly processes, Long Term sickness claims);
  • Provide support to annual and ad hoc reward processes as required, including benefit renewals, employee communications, annual salary review, bonus and share awards, and survey completion;
  • Implement new benefits onto the benefits portal, support the roll out to colleagues and the administration with the provider
  • Act as the first point of call for employee queries relating to their benefits, directing employees to the information they need, as well as working with payroll,People Ops and external benefit providers to resolve any issues, taking action to ensure the issue will not re-occur more widely
  • Support the people operations team when required, for example, holiday cover
  • Support the wider people team in delivery of key people projects where required

Your Experience
  • Relevant experience as an Administrator / Advisor in a fast-paced organisation, prior benefits or HR experience would be a bonus, but not essential;
  • Demonstrable experience working with systems, data and processes
  • Strong IT skills (especially Excel and/or Google Sheets) and experience using HR databases (such as Workday) is preferable
  • Excellent attention to detail and analytical skills, accuracy and numeracy, dealing with salary data, invoices etc
  • Highly organised and able to prioritise to meet deadlines in a busy environment;
  • Able to gain trust and build strong relationships with people at all levels, internally and externally;
  • Proactive and positive ‘can do’ attitude;
  • Excellent customer service skills;
  • Ability to work alone, or as part of a team;
  • Good written and verbal communication skills
