What’s the opportunity?

The IT Supply Management Administrator’s primary role is to support the smooth-running of the IT supply department through administrative duties. These include, assisting in the achievement of the IT department’s objectives and KPIs and ordering stock from suppliers to fulfil Gist IT User demand and maintaining service levels.

Your responsibilities

Receiving requests from Gist Users for the supply of approved IT Products and Services.
Obtaining quotations from approved suppliers for IT Products and Services and provide to users.
Assisting users with following the appropriate approvals process for IT Products and Services.
Creation of Purchase Orders within the SAP Financial system for IT Products and Services.
Administration of the appropriate procedures to ensure that the invoices for IT Products and Services are processed correctly.
Liaison with IT Suppliers with regards enquiries and investigations.
Creation of and the maintenance of appropriate reports, logs, spreadsheets and presentations produced as part of the IT Supply Management services.
Liaison with Gist Central Accounts Unit to facilitate Purchase Order and Invoice processing and effective query resolution.
Expediting quotations for and deliveries of IT Products and Services with Suppliers.
Liaison with Gist users to keep them informed of progress on the provision of IT Products and Services.

What will you need to succeed?

Previous experience in an IT related procurement/administration position.
Supplier Engagement / Management experience.
Several years’ experience of using the following software packages (preferable):
  • Microsoft Desktop Applications particularly Word, Excel, PowerPoint
  • SAP Financials
  • Lotus Notes email
Excellent inter-personal skills.
Ability to work collaboratively as a team player and also on their own initiative.
Ability to manage time and prioritise tasks to achieve required targets in terms of work output.
Attention to detail and accuracy even when working under tight deadlines.
Self-motivated and driven to achieve high quality output in all tasks.
Strong IT Administration skills as well as being highly organised
