Overview of the Role

Service delivery will sit at the heart of the people team and will be supported by a true ESS/MSS system, that will enable our people to have end to end accountability for their own employee information and their teams.


Deliver a service through effective automation is key, so you will be responsible for ensuring we have the right level of governance (HRIS, SOP, policies and procedures) throughout the employee lifecycle, to ensure we deliver ‘right first time’ for our people. Whilst we are going on a journey to drive automation through our HRIS, there will be some transactional activity outside of the system which, will be delivered by a small team.


You will be responsible for working with our outsourced payroll partner, to ensure a seamless delivery of payroll services. If we don’t deliver on our ‘right first-time’ commitments, you will work with the business to look at how we can continue to improve our ways of working and service delivery.


This is a key role within our team. You will drive the development of the service we deliver to our people that enables us to meet the current and future needs of the business. Working in partnership with the wider people team and business leaders to develop robust processes that add value and maximise employee experience.

Responsibilities


  • You will be responsible for the payroll delivery, working with our outsourced payroll partner to ensure a seamless delivery that is line with our SLA’s and governance.
  • Working with our payroll provider and the business to manage payroll escalation cases including overpayment and debt recovery process and chap payments.
  • Continuous improvement is key to our development. Using data insight, you will investigate and carry out root cause analyses to understand our performance delivery and how we can improve our services.
  • You will be responsible for the delivery of the employee lifecycle transactional processes, ensuring they are completed accurately within agreed service levels – including, but not limited to:

o Onboarding (referencing, vetting checks, offer packs etc.)

o Updating training records

o T&Cs changes (those that are not automated)

o Expenses

o Leavers

o Workflow management

  • You will be seeking out opportunities to automate as many transactional activities within the people team
  • You will be responsible for managing query escalations and bringing these to a close within a timely manner.
  • Contribute to the development of company policies, processes & procedures to ensure they remain fit for purpose.
  • Responsible for change control of the document library, ensuring this is kept up to date and translating and updating these changes within the business and on the company intranet/communication platform.
  • You will be responsible for ensuring the delegation of authority is kept up to date and in line with our governance principles. You will work closely with the MI team to ensure this is reflected correctly within the HRIS system.
  • Allocation of resources within the team, ensuring that you organise the team effectively and manage requests for non-BAU requirements.
  • Support the training & development of the People team. Ensuring the service and team continue to grow and meet the needs of the business
  • Resolve complex HR policy and employee issues, engaging with key stakeholders and considering wider business context and external factors
  • Review and measure team performance against agreed service standards/KPIs and compliance measures, taking actions to improve capability where needed and ensuring under performance is addressed appropriately
  • Optimise and promote the use of employee and manager self-service to drive efficiency and reduce non-value-add activity
  • Review and analyse relevant management information and service metrics to present recommendations for action and to support the development of Executive reports

What are we looking for?

Qualifications

  • CIPD qualified (desirable)
  • Degree or equivalent level

Skills

  • IT literate and proficient in the use of Microsoft packages Word, Excel, PowerPoint
  • Good working knowledge of employment legislation
  • Good interpersonal skills, able to confidently interact with employees at all levels within the organisation

Experience

  • Managing a team
  • Working within a HR function, familiar with HR practices
  • Relationship management with 3rd party providers including outsource payroll
  • Working toward service level agreements
  • Experienced in using HRIS systems
  • Policy development, process review/design
  • Prior involvement in setting up a new HR department and/or helping to navigate employees through large scale organisational change would be advantageous but not essential
  • Experience of working in a multi-site, operational business desirable
