Ormiston Shelfield Community Academy are an oversubscribed secondary academy with over 1400 students on roll at Key Stages 3-5 and are part of the Ormiston Academies Trust family.

The academy is looking to appoint a HR Officer to support the Finance Director in providing a quality HR service, responsible for various HR functions including recruitment, staff contracts, monthly payroll processes, absence monitoring, training and development, performance monitoring and employee wellbeing

Key Responsibilities/Activities

Training and Development

  • New starter’s induction to be completed and signed for and placed on staff files.
  • Administration of safeguarding training within the academy.

Staff Wellbeing

  • Provide confidential support for staff with concerns to resolve issues without escalation where possible.
  • Support staff wellbeing including ensuring the academy has the right provision for Occupational Health and counselling and referrals are made when necessary.
  • Work with the Finance Director to carryout Risk Assessments for staff needing adjustments at work.

Attendance Management

  • Ensure staff attend a return to work meeting.
  • Ensure staff attendance is maximised and staff are supported when absent through ill health. Utilise the relevant procedures and policies and work with managers to facilitate this. Provide regular report to the Finance Director with action plans.
  • Monitor and report issues or concerns to the FD/Principal.
  • Complete Occupational Health referrals.

Recruitment

  • Support the recruitment process including safer recruitment and reference checks.
  • Take part when required in interview days.
  • Send for references and check the right to work in line with safer recruitment procedures.
  • Be safer recruitment trained.
  • Complete/issue exit interview forms and provide feedback to the Finance Director.
  • Identify better ways to recruit and retain staff.
  • Ensure Disclosure and Barring Service checks are up to date for all staff.

HR Systems and Personal Information

  • Maintain staff data on the EPM portal including absence, annual leave and other leave such as compassionate/special paid and bereavement leave. Ensure all sickness certificates and fit notes are received.
  • Ensure academy’s internal systems are adhered to regarding authorisation and processing of paperwork for the following:
  • Contract amendments
  • New appointments
  • Processing leavers

Also ensure this information is input to the EPM portal in a timely and accurate manner.

  • Administer Payroll via EPM Portal and complete relevant checks to ensure accuracy.
  • Calculation and monitoring of holiday entitlements for non-term time staff.
  • Administer the maternity, paternity and adoption processes
  • Complete an annual check of staff information including emergency contacts.
  • Using the portal/SIMS maintain the Single Central Record for all staff in line with Ofsted requirements.
  • Ensure Senior Leadership Team are completing probation monitoring.
  • Review biometrics signing in and out reports for all support staff and follow up on any discrepancies.
  • Ensure HR manual is kept up to date.

Disciplinary Grievance Capability

  • Provide Managers with guidance on staff matters which may relate to capability, disciplinary and grievance.
  • Assisting with preparations for disciplinary and grievance hearings as necessary and where appropriate attend in a HR capacity.

Organisation

  • Make sure the organisation has an up to date organisation chart and JD for each post is updated at least annually.
  • Provide HR support for any changes to the structure including potential consultation and reduction resulting in redundancy.

Performance Management

  • Provide the managers with the pay data for Performance Management eligible staff.
  • Collate appraisal training needs for support staff.
  • Collate information from appraisals relating to future career aspirations in liaison with the CPD lead.

Reports

  • Using the HR system prepare reports to the Finance Director and Governors on HR matters.
  • Checking of workforce census data generated by SIMS and submitting return in timely manner.

Professional Development

  • To undertake any necessary professional development and training.

To undertake other duties appropriate to the grade for the post as the Principal or Line Manager may from time to time reasonably determine.
