OUT OF SCHOOL CARE MANAGER

(HOLIDAY CLUB AND AFTER SCHOOL CLUB)

We are seeking a highly motivated and dedicated Out of School Club Manager to lead our Torwood After School and Holiday Club provisions, known as Torwood Out of School Club. As the Manager, you will be responsible for the day-to-day organisation and operation of the club, ensuring high standards of care and a safe, secure environment for children aged 4-11 years.

Responsibilities:

1. Run a Well-Oiled Operation: You will oversee the day-to-day running, behaviour management, efficiency, quality of care, and general communication with staff, parents, and outside agencies. Your exceptional leadership skills will ensure the successful operation of our out of school club.

2. Raise the Bar: We believe in setting high standards, and you will play a crucial role in boosting the quality of our out of school club provision. By adhering to quality assurance, you will work towards gaining external assessment and accreditation.

3. Continuous Professional Development: We value your commitment to personal growth. You will have the opportunity to continuously develop your skills, knowledge, and expertise relevant to this position, keeping them up to date to provide the best possible care and play opportunities.

4. Strategic Occupancy Management: Managing the occupancy levels of the Out of School Club will be your responsibility. You will handle the waiting list and offer childcare places, while effectively promoting and marketing the provision to maintain optimal occupancy.

5. Exciting Programmes: Collaborate with the team to develop and market a program of events for the out of school provision. Your creativity and enthusiasm will bring exciting experiences to the children under your care.

6. Environment Stewardship: Alongside the nursery managers, you will manage the indoor and outdoor environment of the setting. You will have joint responsibility for the safety, suitability, and general tidiness of the equipment. Your insights will be vital in reporting any safety concerns to the HR (and H&S) Manager.

7. Safeguarding and Welfare: We prioritise the safeguarding and welfare of children. You will have due regard for promoting their well being, following child protection procedures and our safeguarding policy.

8. Safety First: Maintaining awareness and adherence to Fire and Health & Safety Regulations is crucial. You will liaise with the HR (and H&S) Manager to address any concerns and ensure a safe environment for all.

9. Diversity and Inclusion: Ensuring that the out of school club is welcoming and accessible to children from all backgrounds, cultures, and abilities. Promoting an atmosphere of acceptance and understanding among staff and children alike. Encouraging activities, discussions, and events that promote diversity and celebrate different cultures, traditions, and identities. Providing opportunities for children to learn and appreciate the richness of our diverse world.

10. Commitment to SEN (Special Educational Needs) and SEMH (Social, Emotional, and Mental Health): We are committed to creating an environment that recognises and caters to the unique needs of every child. Arranging individualised support, collaborating with parents, external professionals, including arrangements for funding, and support services to develop personalised care plans. Designing and adapting activities, play opportunities, and environments to meet the diverse needs of all children.

Staffing Responsibilities:

a) A Happy Team: As the Out of School Club Manager, you will manage a diverse team of full-time, part-time, peripatetic, bank staff, and volunteers. Your exceptional leadership skills will foster a harmonious working atmosphere among the staff.

b) Administration Ace: You will be responsible for day-to-day administration and record keeping, including attendance records, staff records, and managing staff absences and lateness.

c) Optimal Staffing: Maintaining adequate staff-child ratios and creating staff rotas for both provisions will be your focus. You will ensure that there are enough staff throughout the day and that unqualified staff are never left unsupervised.

d) Safety and Hygiene Champion: We take safety and hygiene seriously. You will maintain adequate standards throughout the out of school provision, including risk assessments, recording hazards and accidents, and reporting any concerns.

e) Team Collaboration: Organise and lead staff meetings to discuss concerns and arrangements for each holiday. Your effective communication skills will foster a cohesive and motivated team.

f) Smooth Operations: Arrange appropriate cover for staff when absent, ensuring seamless service delivery and continuity of care.

g) Collaborative Liaison: Liaise with the Administrator and the Principal regarding any changes, staffing problems, or parent queries that may arise within the club. Your effective communication skills will play a vital role in addressing these issues promptly.

h) Support and Flexibility: Show commitment to other departments within the organisation, acting up as nursery manager when required in the absence of other senior staff. Your versatility and willingness to support colleagues will contribute to the overall success of our organisation.

Communication and Collaboration:

1. Up-to-Date Information: Ensure all literature related to the out of school provisions remains current and readily available.

2. Informed and Compliant: Stay updated on policies and practices within the out of school provision and ensure adherence to them.

3. Safe and Engaging Environment: Ensure the areas and equipment used by the children are safe and suitable for their use.

4. Parent Partnership: Provide prospective parents with informative tours, assisting with inquiries and concerns in a polite and professional manner. Refer unmanageable concerns to the Management Team or Principal for resolution.

5. Collaboration with Management: Liaise with the Management Team regarding shared rooms, facilities, and equipment usage to ensure effective coordination.

6. Exciting Off-Site Experiences: Coordinate all trips off-site, ensuring signed consent forms, and implementing appropriate health and safety controls.

7. Dietary Considerations: Inform the kitchen staff about daily lunch and tea numbers, picnic tea requirements for off-site trips, and special dietary requirements or allergies of children attending the provision.

8. Professional Network: Develop and maintain positive working relationships with professionals and authorities, including the local authority, Ofsted, ISA, BAND, and OSCA. Stay informed about relevant changes and forthcoming training sessions.
