Job Description


Day to day management of the workload of site administration ensuring all issues are dealt with effectively and in a timely manner and to ensure that all tasks and outputs are carried out in a timely manner and to the required standard.

This is a fixed term contract for 12 months

Salary: £28,000 per annum (FTE equivalent)

Shift: Monday to Friday, 08.30-17.00

Key Duties of a Operations Administrator:

  • To ensure that Transport admin is completed on time, in full and accurately including but not limited to; vehicle files, driver timesheets, etc
  • Weekly paid colleague payroll administration, including any queries.
  • Recording and reporting of Agency hours.
  • Control the ordering and record keeping of operational support areas such as stationery, operational consumables, uniform and PPE.
  • Communicating with customers via telephone, email in a professional manner, ensuring all queries are dealt with and resolved.
  • Supporting the Transport Team with vehicle breakdowns
  • Supporting the Compliance Manager with site contractors and other areas within capabilities.
  • Ensuring that Room Bookings systems are up to date and deal with any queries and bookings.
  • Ensuring that vehicle records and defects are up to date on company systems, including updating any visual indicators for the Operational team.
  • Maintain and process the site Compleat records.
  • Ensure that all Company noticeboards are kept up to date.
  • Responsible for access keys to site.
  • Assist Site Managers in any reasonable activity within the running of the operation including carrying out any other administrative duties accurately and within agreed timescales.

Qualifications
  • Previous experience within an administrative role is required.
  • Attention to detail and accuracy
  • Excellent communication skills in order to deliver accurate information
  • Able to work efficiently and accurately under pressure
  • Effectively prioritise work load in order to meet set deadlines
  • Good knowledge of MS Office, in particular Excel, Word, Outlook
  • Excellcent attention to detail
  • Good communication skills
  • Able to work without direct supervision
  • Able to work well in a team environment
