Due to expansion we are looking for a reliable part time Financial and Systems Administrator based at Home from Home Nursery in Worthing. The role is mainly administrative, ensuring finance matters are processed and managed in a timely manner and in line with company policy for parents, suppliers and staff.

This is a new role working alongside an existing Finance role, which supports the management of Accounts Payable, and an existing Office Administrator role. The hours can be flexible within the working day of 8am to 6pm. To commence with the position is for up to 20 hours per week.

The financial administrator role will include financial management, liaising with the directors and nursery leadership team and support to relevant teams. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. This is a new role which we see evolving and developing over time.

The finance administrator ensures smooth running of the nursery office processes in relation to finance matters and contributes to driving ongoing improvements and best practice for all.

What to expect

  • The work can be a combination of office/home based and the need to travel is uncommon, though may be required occasionally.
  • The nature of the role is to support colleagues and parents and project delivery
  • The work is mainly focused on the needs of the directors and leadership team. Deadlines may be imposed suddenly, demanding flexibility and reprioritisation of workload.

The Role

  • Managing the day to day finances to ensure finances payable are received in a timely manner to support good cash flow management

  • Works closely with the Finance Administrator – Accounts Payable and the Office Administrator to secure efficiency and compliance to company policies and GDPR guidelines

Responsibilities: The position will include but is not limited to:

  • Focus is control of accounts receivable (income) and management of internal systems
  • Project management of new systems into the business
  • Set up of parent accounts and processing of fee invoice
  • Management of Staff and Parent log to IT system
  • Manages the end to end funding process in line with WSCC policies
  • To ensure the financial rules of the company are followed
  • Works with Finance Director and Nursery Manager to support monthly budgeting and book keeping procedures
  • Supports the Finance Director in the preparation and timely submission of financial reports summarising and estimating the organisation’s financial position such as income statements, balance sheets and analyses of future earnings and income
  • To improve the financial controls within the organisation
  • Manages correspondence on finance matters by answering emails and sorting mail
  • Liaises with parents, staff and outside agencies and contractors
  • Manages petty cash and staff expense requests
  • Banks cash and cheques
  • Interacts with owner directors and carries out their requests
  • Maintains accurate filing systems and archives appropriate documents as needed
  • Create and update’s relevant records and databases with personnel, financial and other data
  • Assist colleagues whenever necessary

Requirements

  • Proven experience in a finance/systems management role
  • Strong Social skills: ability to build positive interactions with customers, the role requires interaction with different clients daily.
  • Analytical skills: ability to analyze different scenarios, apply critical thinking and make appropriate decisions for each situation.
  • Ability to solve problems: ability to confront problems head-on as they may come such as challenging the financial repercussions of a problematical business issue or coming up with a modified solution for a customer’s difficulty,
  • Commercial intelligence: an interest in trends shaping the business to enable understanding of a firm’s fiscal behaviour verses the market place
  • An organized and professional approach to work
  • Be able to work on own initiative and manage own workload but also be part of a team
  • Be trustworthy and able to handle Confidential Information
  • Be comfortable working with industry standard software applications
  • Be proficient in Apple and Microsoft Office Packages (Spreadsheets, Databases, Email, Word Processing)
  • Be educated at GCSE Grade C or above in Math’s (Or equivalent)
