About the role

This is an exciting opportunity for someone who is looking to get into a long term career in Finance. While you’re reporting directly to our Financial Director, and working closesly with our Finance Analyst, we’re prepared to also support you in your studies. Day to day you will be;

  • Running monthly billing and invoicing cycle and checks, ensuring accuracy and completeness as well as setting up direct debits through HubDoc and Xero (our accounting software)
  • Producing weekly reports of Account Receivables and Payables and attending these meetings
  • Following-up on outstanding invoices or bills on a regular basis with our Operations team and/or clients
  • Onboarding clients onto our Direct Debit system (GoCardless) for prompt payments
  • Helping with our Business Rates process, such as ensuring all clients have signed authorisation forms so that Canvas can handle business rates on their behalf and following-up with Local Councils for any business rates bills or reliefs/refunds
  • Liaise with our external advisor, Avison Young, to action any queries form the Local Councils
  • Keeping a spreadsheet of all business rates for all of our buildings and units for completeness and accuracy
  • Managing utilities contracts across portfolio – Keep a spreadsheet of all meter locations, numbers, energy provider, unit prices, direct debit dates, contract renewal dates, etc.
  • Dealing with energy brokers to obtain best prices on contract renewals
  • Setting up supplier details on Xero to enable direct payments
  • Ownership of our central company phone for procurement and payment authorisations as well as assisting the founders with this too
  • Chasing any queries with company insurance contract renewals
  • Regularly update capital expenditure budgets on new site developments to track actual spend vs budget
  • Conducting ‘Check Outs’ for tenant deposit returns of departing customers (checking all payments in HSBC and cross check with Xero)
  • Keep a tracker / spreadsheet of all software and other subscription spends and renewing them as necessary via direct debit
  • Owning all administration of the company cards including ordering and freezing cards, topping-up funds and chasing expenses to ensure correct use.
  • Owning the office food and beverage budget and purchasing weekly as well as ordering all new equipment for new starters as and when they start
  • Any other / ad-hoc admin support with any finance processes

About you

You have an exceptional eye for detail and have a skill for all things Finance. You’re analytical and are apsiring towards a career in Finance. You can work to tight deadlines and can confidently chase others for the information you need. You have;

  • One previous role in a junior finance position (desirable)
  • Experience using accounting software like Xero for example
  • Finance and accounting qualification desirable (althought we will help with this long-term also)
  • A university degree (also desirable)
