JOB DESCRIPTION – Financial Administrator

Job Title: Financial Administrator
Employer: ecodyfi
Location: ecodyfi, Y Plas, Machynlleth
Salary: £25,000 p.a. pro rata i.e. £21,621.62 p.a.
Pension: Employer contribution estimated to be £31.70/month
Hours of Work: Fixed Term contract to 30th June 2023. 32 hours/week, of which 28 hours are dedicated to the Tyfu Dyfi project.
Annual leave: 26.75 days including a 32/37 share of Public Holidays
Line Manager: ecodyfi Manager
Responsible also to: Tyfu Dyfi Project Manager
Job Purpose:
Ensure sound financial management of the Tyfu Dyfi project and of ecodyfi as a whole, in collaboration with the Manager.
Main Duties and Responsibilities:
  • Manage day-to-day accounting operations including paying invoices, bank reconciliation and maintaining the book-keeping and accounting records using Quickbooks and Excel;
  • Maintain accurate financial information regarding grant income and expenditure so as to be able to compile periodic claims for payments;
  • Assist with the preparation of annual accounts;
  • Provide regular reporting to ecodyfi’s Manager and to the Tyfu Dyfi Project Manager;
  • Assist in the preparation of budgets and financial forecasts;
  • Contribute to the sound financial management of the organisation;
  • Proactively support other team members as part of a self-managed team;
  • Review and develop accounting systems, controls and procedures;
  • File financial, regulatory and legal information with statutory bodies in a timely manner;
  • Attend staff meetings in Machynlleth or virtually;
  • Take responsibility for own day-to-day office administration and answering queries;
  • Carry out any other similar duties as can reasonably be required of the post.

PERSON SPECIFICATION – Financial Administrator

Essential Desirable
Solid knowledge of financial and accounting procedures, including the ability to manage multiple restricted and unrestricted funding streams Ability to work and communicate in Welsh and English

Experience using financial software such as Quickbooks online Understanding of, and personal commitment to, sustainable development
Experience of accounting for VAT and submitting VAT returns Previous experience of working in the voluntary sector
Very good MS Excel skills Experience of financial management in the voluntary sector
Competence with other IT, a good working knowledge of Microsoft Word and email systems. Experience of managing grant aid and of reporting to funders
Excellent organisational skills including attention to detail, record keeping and data management A relevant professional qualification completed or in progress (bookkeeping, accounting or business management)
Previous experience of managing own office administration systems
Good interpersonal and communication skills, both orally and in writing
Ability to work independently with minimal supervision; self-starting and proactive and showing initiative
