JOB DESCRIPTION

This is a great part time opportunity for a part or fully qualified accountant to join a fantastic team at the Stubbington Ark Animal Centre. We really need a versatile person that can help us digitalise our systems and assist with the transfer of works from Sage to Xero and also the implementation of a new outsourced payroll function. This is a brand new role within our Branch and will allow the successful applicant to shape the nature of the role, suggest improvements and have a real impact of how we manage our finances.

Job Title: Part time Finance Manager

Hours per week: 22.5 hr per week (over three days)

Location: The Stubbington Ark Animal Centre, Fareham.

Reporting to: Branch Manager

1. Purpose of the job

To have overall responsibility for all aspects of managing the charity’s finances and financial reporting, including supervision of the Finance Administrator

2. Responsibilities

  • Preparation of monthly management accounts by department, including the posting of accruals, prepayments and depreciation. Monthly management accounts also to include a balance sheet.
  • Reconciliation of all balance sheet accounts
  • Responsibility for the payroll, including liaising with the outsourced payroll provider, providing all required payroll details on a monthly basis and ensuring the timely payment of staff and HMRC
  • Completion of the quarterly VAT returns under a partial exemption scheme
  • Responsibility for compliance with HMRC VAT regulations
  • Responsibility for compliance with HMRC Gift Aid regulations (including the maintenance of Gift Aid Declarations) and completion of Gift Aid claims
  • Preparation of annual budgets, to include expenditure and income
  • Liaising with the auditors in relation to the annual audit and completion of the statutory accounts
  • Completion of all accounting and reporting, including inter-company charges, for a trading subsidiary which is in the process of being established. This will include quarterly VAT returns.
  • Liaising and working together with the fundraising team and charity shop manager, providing financial support and analyses as required
  • Providing general financial support and analyses, as required by the charity and trustees
  • Perform any other associated duties/tasks in relation to the role as directed by the Branch Manager or Board of Trustees.

With the Finance Administrator:

  • On an ongoing basis, implementing improvements to existing processes and procedures
  • Undertake Banking, as and when required

3. Whilst at work all staff are required to:

  • Take care of their own health and safety and that of others who may be affected by their acts and omissions.
  • Co-operate with all Branch policies and procedures including Health and Safety.

4. Additional information

  • Specific targets are agreed with the Line Manager
  • Work is assessed through regular one to one meetings and annual appraisals with the Line Manager.
  • The above is subject to change, with prior notice should the needs of the Branch change.

Person Specification- Finance Manager

Education and Training

Part qualified or fully qualified accountant - Essential

Experience

Demonstrable experience of compliance with HMRC Gift Aid regulations (including the maintenance of Gift Aid Declarations) and completion of Gift Aid claims

Experience of managing a small team

Previous experience of charity accounting - Desirable

Special skills and Knowledge

Enthusiastic, dynamic and flexible individual

Extensive knowledge of compliance with HMRC VAT regulations

Strong IT skills

Previous experience of Xero accounting software

Personal Qualities

Embracing of change, which will include moving to a new accounting system (Xero), the online filing of invoices, wider digitalisation and ongoing process improvements.

Other Requirements

A “team player” who leads by example and looks to make efficiencies to develop and improve the financial operation of the Branch.
