Your Tasks/ Responsibilities:

Reporting to the Head of HR/Facilities your duties will include:

  • Responsible for ensuring the facilities (i.e. buildings and services) meet the needs of employees.
  • Liaise with relevant internal stakeholders to prepare specifications of work relating to workspaces and facilities and to ensure it meets their needs.
  • Review and evaluate performance of the building contractors and other facilities suppliers.
  • First point of contact for employees to report any issues relating to facilities and maintain tracker of calls and resolution.
  • Obtain authorisation for approval for work, tracking costs and ensuring prompt payment of suppliers.
  • Work closely with Non Production Purchasing.
  • Liaising with Building and Maintenance Contractors, Car Lease Providers & Drivers, Catering Services, Cleaning, Travel Management Services.
  • Ownership of Conference Rooms and Reception Area including supporting Visitors.
  • Maintain building leases and insurances.
  • Carry out regular audits of the buildings and facilities and promote continuous improvement.
  • General administrative duties within the Site Services Area supporting the MD and Head of HR/Facilities

Your Profile:

  • Educated to A Level or equivalent
  • Strong experience working within an administrative position/ Personal Assistant role
  • Highly organised
  • Excellent communication skills both written and verbal
  • Confident using MS Office Packages
  • Motivated, self-starter with the ability to work on own initiative and ability to manage and prioritise own workload
  • Problem resolution skills
  • Proactive
  • Flexible and adaptable
