We are seeking a motivated and enthusiastic Facilities Assistant to join our busy Facilities Department, which provides a range of essential support functions to the firm as a whole. In this role, you will be based at our Exeter Office with a focus on ensuring the smooth and effective provision of support to the people based in that location.
This is a great opportunity for someone looking for their first admin role in a professional services firm - experience is not essential and full training will be given.
is a full time, permanent position and you will need to be able to attend the Exeter office every working day, as required.
In this role, your main responsibilities will be:
Daily handling of Deeds & Archives requests
Ordering files from storage
Dealing with general queries for wills, deeds and Lasting Powers of Attorney
Daily handling of incoming, outgoing and internal mail
Reprographics and scanning, completing these tasks within agreed deadlines
Ordering taxis and arranging couriers
Assisting with meeting room lunches when required, including the set up and clearance of rooms after use
Supporting in the monitoring and maintaining good stock levels of essential business resources, including ordering of stationery and consumables
Supporting the general tidiness and organisation of the office, including kitchens
Reception cover when required
Assisting in the disposal of confidential waste
About you
You will possess excellent communication and interpersonal skills, and a strong work ethic. You will be able to demonstrate your ability to manage your own workload, scheduling planned work alongside new requests for support on an ongoing basis, whilst remaining calm under pressure. We will expect you to be proactive and respond positively to the needs of colleagues in the Exeter office. You will be accustomed to meeting scheduled work deadlines in a fast paced environment, and are able to work unsupervised, using your own initiative as well as working effectively as part of a larger team.
For day to day tasks, a good level of experience using Microsoft Office, and any current understanding of Fire Regulations and procedures would be an advantage.
As you can tell, this role will require you to be flexible, positive and solution-focussed, and you will take pride in your work and your role in representing Ashfords to clients and colleagues alike. On occasion, it may be necessary for you to travel to other office locations so access to your own transport is important.
