We have a very exciting opportunity to join a leading international law firm as a Facilities Assistant at their offices in London. As the first point of contact for facilities issues, this role requires excellent organisational skills, attention to detail, and problem-solving abilities. It offers a dynamic and varied work environment that values teamwork. The ideal candidate will have a flexible attitude, be results driven & have an enthusiastic personality with the ability to use your own initiative.

The working hours are based on a rotating 4-week schedule between the following working hours:

8am-4pm, 9.30am-5.30pm, 11am-7pm, 1pm-9pm

Salary is up to £32,000.

Duties will include:

  • Serve as the primary point of contact for all facilities-related requests within the London office, including building maintenance, lighting, air-conditioning, and security.
  • Perform reprographic and document production tasks, ensuring timely completion and adherence to quality standards.
  • Act as a liaison with maintenance contractors to promptly address and resolve facilities issues or repairs.
  • Conduct regular inspections to ensure proper maintenance of all facilities.
  • Operate the Building Management System, coordinating security pass allocation, special access, and deactivation of passes for departing employees.
  • Handle office moves and changes, ensuring proper setup for internal moves, new hires, and visitors.
  • Maintain equipment, such as photocopiers, franking machines, shredders, and binders, by coordinating repairs with engineers.
  • Monitor budgets, expenses, and costs, seeking necessary approvals as required.
  • Ensure continuous stock and maintenance of stationery areas.
  • Manage incoming and outgoing mail and courier services for the office, liaising with building management, Royal Mail, and international/domestic courier service providers.
  • Take the lead in keeping health and safety signage and information up to date and appropriately displayed, including fire procedures, evacuation plans, and assembly points.
  • Regularly report health and safety issues to the Operations & Facilities Manager and/or Facilities Supervisor.
